Abstract

Purpose

Although the handover stage is the key transition stage between the construction and operation, there is no critical overview of issues and research at the handover stage, hindering the achievement of sustainable development of buildings. Therefore, the purpose of this paper is to review the building handover-related issues and research in construction and facility management (FM) journals. The specific objectives of this study include: analyze the research trends and overview the handover-related publications; identify the major research topics on the handover of buildings; identify research gaps and propose future research directions.

Design/methodology/approach

This study opted for a four-step systematic review of papers from the well-known academic journals in the construction and FM respects.

Findings

The results first revealed the increasing research interest in the handover of buildings from the researchers. Moreover, the post-construction defects, poor information fidelity, poor interoperability between building information modeling (BIM) and FM technologies, and insufficient consideration of end users were identified as the most concerned challenges for a building handover. Furthermore, identifying and formalizing information requirements for handover, improving the handover process, and improving the interoperability between BIM and FM were solutions mostly emphasized by researchers.

Research limitations/implications

As the first systematic review of building handover-related issues and research, this study is the building block for future research on this topic. The findings provide guidance for researchers in the construction and FM research community, and help them form useful collaboration for future research opportunities and find future research directions.

Practical implications

The identified significant challenges and potential solutions for a building handover could assist practitioners in making rational decisions on developing or adopting relevant technologies, and reshaping their management patterns and working processes. Moreover, the findings could be severed as evidence for policymakers to initiate policies, such as documents e-submission and timely updating BIMs, to achieve the vision of model-based project delivery.

Originality/value

This study contributed to the body of knowledge of sustainable development by providing a new insight to tackle the hindrance to the smooth transition from the construction to the operation.

Abstract

Purpose

This research investigates the distinct characteristics of blockchain technology to safeguard against the deterioration of handover information quality in the post-construction phase. The significance of effective management of handover information is highlighted by global building failures, such as the Grenfell Tower fire in London, UK. Despite existing technological interventions, there remains a paucity of understanding regarding the factors contributing to the decline in the quality of handover information during the post-construction phase.

Design/methodology/approach

This study employed a multi-case studies approach across five higher education institutions. It involved conducting semi-structured interviews with 52 asset management professionals, uncovering the underlying reasons for the decline in handover information quality. Building on these insights, the study performed a mapping exercise to align these identified factors with blockchain technology features and information quality dimensions, aiming to evaluate blockchain’s potential in managing quality handover information.

Findings

The study findings suggest that blockchain technology offers advantages but has limitations in addressing all the identified quality issues of managing handover information. Due to the lack of an automated process and file-based information exchange, updating handover information still requires an error-prone manual process, leading to potential information loss. Additionally, no solutions are available for encoding drawings for updates and validation.

Originality/value

This study proposes a framework integrating blockchain to enhance the information management process and improve handover information quality.

Abstract

Purpose

This paper aims to represent the results of a case study to establish a building information model (BIM)-enabled workflow to capture and retrieve facility information to deliver integrated handover deliverables.

Design/methodology/approach

The Building Handover Information Model (BHIM) framework proposed herein is contextualized given the Construction Operation Information Exchange (COBie) and the level of development schema. The process uses Autodesk Revit as the primary BIM-authoring tool and Dynamo as an add-in for extending Revit’s parametric functionality, BHIM validation, information retrieval and documentation in generating operation and maintenance (O&M) deliverables in the end-user requested format.

Findings

Given the criticality of semantics for model elements in the BHIM and for appropriate interoperability in BIM collaboration, each discipline should establish model development and exchange protocols that define the elements, geometrical and non-geometrical information requirements and acceptable software applications early in the design phase. In this case study, five information categories (location, specifications, warranty, maintenance instructions and Construction Specifications Institute MasterFormat division) were identified as critical for model elements in the BHIM for handover purposes.

Originality/value

Design- and construction-purposed BIM is a standard platform in collaborative architecture, engineering and construction practice, and the models are available for many recently constructed facilities. However, interoperability issues drastically restrict implementation of these models in building information handover and O&M. This study provides essential input regarding BIM exchange protocols and collaborative BIM libraries for handover purposes in collaborative BIM development.

Abstract

Purpose

As the use of building information modeling (BIM) for facilities management (FM) continues to grow, questions remain around the quality and completeness of digital assets to support FM practices. This paper aims to examine the current gap between digital and physical assets in the absence of formal information requirements and its impact on the handover process.

Design/methodology/approach

An action-research was carried out with a large public organization to understand the challenges of their current FM processes and the steps required in developing an asset information model (AIM) from a project information model (PIM). A mixed method approach was employed with interviews, document analysis and an exploratory pilot case study.

Findings

This paper investigates the process, the challenges and the level of effort of the information commissioning process to create a fit-for-use AIM. Four distinct steps were identified in the process as follows: analyzing the handover PIM and documents, extracting FM-specific information, populating the model with the information and attaching operations and maintenance (O&M) documents. The research highlights the significant amount of effort that is required when no specific asset information requirements are formulated at the project onset.

Practical implications

The paper presents an information commissioning process that helps to develop an AIM from a PIM. Understanding the impact of the lack of requirements on the information commissioning process can help asset owners understand the importance of defining and articulating their information requirements up front.

Originality/value

This paper provides empirical evidence of the impact of the absence of formal information requirements on the development of a fit-for-use AIM.

Abstract

Purpose

The purpose of this paper is to investigate the content, purpose and effectiveness of the handover of information between care home staff beginning and completing a shift.

Design/methodology/approach

This was an exploratory study drawing on ethnographic methods. A total of 27 interviews with a range of care home staff, including managers, registered nurses, senior care workers and care workers were undertaken in five care homes selected to give a good contrast in terms of size, ownership, shift patterns and type of handover.

Findings

Most handovers were short – lasting 15 min or so – and were held in the office or secluded area in which staff could talk privately. They lasted longer in one home in which the incoming and outgoing shifts physically visited each resident’s room and the communal spaces. Staff felt that handovers were important for the efficient running of the home as well as to alert everyone to changes in a resident’s health or important events, such as a hospital appointment. In one home, handheld devices enabled staff to follow a resident’s care plan and update what was happening in real time.

Research limitations/implications

This was a small scale study based on data from a limited number of care homes.

Practical implications

The increasing popularity of 12 h shifts means that many homes only hold two short handovers early in the morning and in the evening when the night staff arrive. There appears to be a trend to reduce the number of staff paid to attend handover. Despite this, handovers remain an important component of the routine of a care home. The information contained in handover relates to the running of the care home, as well as residents’ wellbeing, suggesting that, while their content overlaps with written records in the home, they are not superfluous.

Originality/value

Although the literature on handovers in hospitals is extensive, this appears to be the first published study of handover practices in care homes.

Abstract

Purpose

The purpose of this study is to investigate ways of transferring knowledge and information during the life-cycle phases of construction projects, particularly between the construction and occupancy phases, and to find an approach to minimise knowledge and information gaps during the handover process.

Design/methodology/approach

The study applied a qualitative approach involving a literature review and an archival analysis of information flow in the studied cases of a construction project, followed by a cross-cases analysis and expert interviews. Data on information flow were collected from three cases of building construction projects in Perth, Western Australia. In addition, a total of 18 local facilities management experts were interviewed to identify the key reasons of knowledge and information gaps and to propose an effective knowledge flow model.

Findings

The findings of this study indicated a significant knowledge and information gap, which exists during the handover process in construction projects in Western Australia. The findings of case analysis and expert interviews identified that the project handover guidelines were often ignored in construction projects in Western Australia, and the handover phase was not given the same priority as the design and construction phases by most of the project stakeholders, which led to information and knowledge gaps between the project construction and post-occupancy phases. The study conducted, integrated knowledge and information flow modelling to analyse the knowledge and information gaps followed by mapping the gaps against existing knowledge sharing frameworks (KSFs) before proposing an integrated knowledge sharing conceptual model to improve current practice and to enhance the information flow during the various phases of the construction project life cycle.

Research limitations/implications

The study is based on three cases in Perth, Western Australia, and thus the findings and recommendations are contextual. Whilst laying a good foundation to do so, further research is needed to investigate more cases in Western Australia and beyond to fully generalise the findings from this study.

Originality/value

The study contributes to improve the handover process and information flows in project life-cycle phases in Western Australia and develop an information flow model followed by bringing together existing KSFs, namely, the open communication channel (OCC), soft landing framework (SLF) and building information modelling (BIM), to propose an integrated knowledge sharing conceptual model. The methodology used here to analyse the information flow in a diagrammatic manner, the mapping of FM issues against the KSFs’ capabilities and a conceptual model to facilitate change in the industry’s silo mindset are the main contributions of this paper.

Purpose

Information management workflow in building information modelling (BIM)-based collaboration is based on using a common data environment (CDE). The basic premise of a CDE is exposing all relevant data as a single source of truth and facilitating continuous collaboration between stakeholders. A multitude of tools can be used as a CDE, however, it is not clear how the tools are used or if they fulfil the users’ needs. Therefore, this paper aims to investigate current practices of using CDEs for information management during the whole built asset’s life cycle, through a state-of-the-art literature review and an empirical study.

Design/methodology/approach

Literature data is collected according to the PRISMA 2020 guideline for reporting systematic reviews. This paper includes 46 documents in the review and conduct a bibliometric and thematic analysis to identify the main challenges of digital information management. To understand the current practice and the views of the stakeholders using CDEs in their work, this paper used an empirical approach including semi-structured interviews with 15 BIM experts.

Findings

The results indicate that one of the major challenges of CDE adoption is project complexity and using multiple CDEs simultaneously leading to data accountability, transparency and reliability issues. To tackle those challenges, the use of novel technologies in CDE development such as blockchain could be further investigated.

Originality/value

The research explores the major challenges in the practical implementation of CDEs for information management. To the best of the authors’ knowledge, this is the first study on this topic combining a systematic literature review and fieldwork.

Abstract

Purpose

Building information modelling (BIM) in facilities management (FM) applications is an emerging area of research based on the theoretical proposition that BIM information, generated and captured during the lifecycle of a facility, can improve its management. Using this proposition as a starting point, the purpose of this paper is to investigate the value of BIM and the challenges affecting its adoption in FM applications.

Design/methodology/approach

Two inter-related research methods are utilised. The literature is utilised to identify the application areas, value and challenges of BIM in FM. Due to the lack of case studies identified in the literature review, and to provide empirical evidence of the value and challenges of BIM in FM, a case study of Northumbria University’s city campus, is used to empirically explore the value and challenges of BIM in FM.

Findings

The results demonstrated that BIM value in FM stems from improvement to current manual processes of information handover; improvement to the accuracy of FM data, improvement to the accessibility of FM data and efficiency increase in work order execution. The main challenges were the lack of methodologies that demonstrate the tangible benefits of BIM in FM, the limited knowledge of implementation requirement including BIM for FM modelling requirements, the interoperability between BIM and FM technologies, the presence of disparate operational systems managing the same building and finally, the shortage of BIM skills in the FM industry.

Originality/value

There is lack of real-life cases on BIM in FM especially for existing assets despite new constructions representing only 1-2 per cent of the total building stock in a typical year. The originality of this paper stems from both adding a real-life case study of BIM in FM and providing empirical evidence of both the value and challenges of BIM in FM applications.

Purpose

Studies of BIM examine the potential benefits in maintenance. There is also a perspective maintenance teams should be involved early in the building project process. The purpose of this paper is to address the lack of understanding on learning processes for BIM in maintenance in the early building project stage.

Design/methodology/approach

Case study is used to examine the context maintenance learn about BIM. Maintenance managers and project managers were interviewed where discussions centred on a new build project which introduced BIM and how it would impact current practices.

Findings

Learning happens at the early building project stage for BIM into maintenance influenced by external and internal contexts. The external context focuses on the UK government on being a catalyst for explorative learning. Meaning is added by maintenance teams through exploiting what is learnt from the external influence which is contextualized within current activities. Internal shaping of BIM is explored through building scenarios and exploitation learning occurs from past experiences of change which are inferred onto BIM. There is a necessary balance between exploration and exploitation learning in order to shape BIM for maintenance.

Research limitations/implications

The paper is limited to one case study, however, it takes an in-depth look at the development of BIM in maintenance and how it is understood in maintenance.

Originality/value

The contribution of the paper examines the context of learning in which BIM is shaped in maintenance.

Abstract

Purpose

Building information modelling (BIM) provides a robust platform for information management in built environment facilities. However, one of the consequences of the limited application of BIM in facilities information management (FIM) is that the potential value gain through the integration of as-built information during the operations management process has had limited exploration in current practice. The purpose of this paper is to explore the potential impact of BIM to enhance the value of FIM.

Design/methodology/approach

A detailed literature review was undertaken to identify BIM application in a construction context, and to develop a framework to investigate the value of information. An interpretative approach was adopted for data collection and analysis. A total of 14 semi-structured interviews were conducted with construction industry professionals to identify how value of FIM can be enhanced through BIM integration. The interview data were analysed using open and selective coding.

Findings

The findings confirm that information exchange between the construction and facilities management (FM) phases of a project are important in terms of efficient and effective maintenance of a facility as well as optimising the design task. With these promising benefits, BIM is an efficient mechanism to facilitate construction information exchange. However, there is an uncertainty over the optimum level of information that ought to be on a BIM model for FM purposes. The relationship between different aspects of value is a starting point to filter the required information for each individual project. In contrast, limited awareness of value of information exchange and the potential of BIM enabled FIM during construction is noted.

Research limitations/implications

The information exchange considered within this investigation was limited to two key phases of the facility life cycle, namely, construction and FM (in-use).

Practical implications

The findings bring insight into an unseen aspect of FM information needs that should be given priority in upcoming BIM developments. Also, it draws attention to how value is concerned in a daily basis beyond monetary terms.

Originality/value

The investigation of value enhancement through BIM integration in particular to FIM and ongoing research with new value dimensions.
