Abstract

Purpose

Information management workflow in building information modelling (BIM)-based collaboration is based on using a common data environment (CDE). The basic premise of a CDE is exposing all relevant data as a single source of truth and facilitating continuous collaboration between stakeholders. A multitude of tools can be used as a CDE, however, it is not clear how the tools are used or if they fulfil the users’ needs. Therefore, this paper aims to investigate current practices of using CDEs for information management during the whole built asset’s life cycle, through a state-of-the-art literature review and an empirical study.

Design/methodology/approach

Literature data is collected according to the PRISMA 2020 guideline for reporting systematic reviews. This paper includes 46 documents in the review and conduct a bibliometric and thematic analysis to identify the main challenges of digital information management. To understand the current practice and the views of the stakeholders using CDEs in their work, this paper used an empirical approach including semi-structured interviews with 15 BIM experts.

Findings

The results indicate that one of the major challenges of CDE adoption is project complexity and using multiple CDEs simultaneously leading to data accountability, transparency and reliability issues. To tackle those challenges, the use of novel technologies in CDE development such as blockchain could be further investigated.

Originality/value

The research explores the major challenges in the practical implementation of CDEs for information management. To the best of the authors’ knowledge, this is the first study on this topic combining a systematic literature review and fieldwork.

Abstract

Purpose

This paper aims to present an assessment of the challenges of using building information modeling (BIM) in the facilities management (FM) practice in Saudi Arabia.

Design/methodology/approach

A review of the relevant literature was conducted, resulting in identifying 31 potential challenges to BIM utilization in FM, which were grouped into five main categories. These challenges were used to design a five-point Likert scale questionnaire survey to obtain the feedback of experts in the FM domain in Saudi Arabia. The professionals that participated in the survey consisted of facilities managers, maintenance managers and BIM experts. The results obtained were analyzed based on the Effect Index (EI) approach. The questionnaire also contained an open-ended section for more qualitative data.

Findings

The results of the EI revealed that the top most influential challenges include “integration of the building systems design with BIM”, “definition of handover requirements and integration requirements between FM and BIM” and “getting appropriate and accurate information”. The category with the highest EI was the “challenges pertaining to the execution of BIM in FM”.

Practical implications

The paper outlines the critical challenges influencing the utilization of BIM in FM in Saudi Arabia and, as a result, could facilitate the development of implementation plans for BIM utilization. Thus, the study results have practical implications for stakeholders in the building industry.

Originality/value

The study contributes to the building industry through its discussion of the challenges of BIM utilization in FM and thus has the potential to increase the level of awareness of stakeholders in the industry.

Abstract

Purpose

While digitalisation requires facilities management (FM) organisations to change at an increasing rate, little is known about the mechanisms that create ownership and enable individuals to implement changes in everyday FM practice. In this study, these mechanisms are explored from a stewardship perspective. The purpose of this paper is to provide insights into the dynamics of organisational change in FM by analysing how stewardship behaviour leads to change.

Design/methodology/approach

A process model for implementing organisational change is constructed, based on existing theoretical insights from stewardship and intrapreneurship literature. The model is evaluated in a case study through analysis of critical events. Interviewing was the key data collection method.

Findings

The process model gives an event-driven explanation of change through psychological ownership. Analysis of multiple critical events suggests that the model explains intra-organisational as well as inter-organisational change. The case data further suggests that, compared with intra-organisational change, tailored relational and motivational support is more important for inter-organisational change because of the higher risks involved. Job crafting emerged as an unanticipated finding that offers interesting prospects for future FM research.

Practical implications

The process model offers guidance for leaders in FM organisations on providing tailored support to internal and external employees during periods of organisational change.

Originality/value

Stewardship and intrapreneurship are combined to provide insights on organisational change in FM. The study demonstrates how intrapreneurial behaviour and stewardship behaviour can be linked to create innovation within and between organisations.

Abstract

Purpose

This paper aims to explore and review the critical perspectives of stakeholders in the facility management (FM) industry as regards the barriers to building information modelling (BIM) integration, with the view to providing significant insights to mitigate the barriers to BIM implementation.

Design/methodology/approach

An extensive literature review was conducted to identify critical barriers to BIM–FM integration. Ten categories of barriers were identified from the literature review and used to design a Likert scale-based questionnaire, which was administered to registered members of International Facility Management Association based in Lagos, Nigeria. The data collected were analysed using both descriptive (mean score, standard deviation, frequency tables and charts) and inferential statistics (Shapiro–Wilk and Kruskal–Wallis tests).

Findings

The descriptive and inferential analysis demonstrated a disparity in the ranking of the ten barriers among the groups. Six (out of ten) barriers to BIM implementation for FM practices are identified as critical (mean score greater than 4.0): insufficient awareness levels of BIM–FM integration benefits, non-existence of contractual and legal framework for BIM implementation, limited studies on BIM–FM inter-relationship, poor acceptance levels and resistance to change among stakeholders, perception of BIM and inadequacy of mode data. And the results of the one-sample t-tests show that there were statistically significant differences in the six.

Practical implications

This study offers significant insights to industry stakeholders in understanding BIM implementation barriers in FM, as well as the framework for mitigating them. These findings could also be applied to other developing countries, with special consideration given to locational differences.

Originality/value

The valuable information provided in this study could be used as a roadmap to improve BIM–FM practice implementation in Nigeria. It also measured differences in the opinions of professionals.

Abstract

Purpose

The era of digital construction, including building information modelling (BIM), has placed a high demand for a seamless collaboration of people, technology and processes in meeting a project delivery. The project actors involved in a BIM process must ensure compliance with all regulations and contractual requirements from inception. While many studies have disclosed the various contractual implications arising from BIM implementation, little has been examined on the current state of BIM in contract administration practice, particularly in the Malaysian construction industry. This study aims to explore the current state of BIM implementation with specific reference to a design-and-build construction project.

Design/methodology/approach

The exploratory case study involved the construction of a public complex. Semi-structured interviews were carried out with the project actors, and document analysis was performed on the project’s contractual guidelines to derive the findings.

Findings

Findings from the thematic analysis revealed the following five sequences of activities that guided the contract administration practices, particularly during the pre-contract and post-contract stages of a BIM-based construction project: project inception, tendering phase, detailed design, construction and preparation for the handing over phase. Most of the activities were conducted to deliver the final BIM outputs successfully. Nevertheless, some shortcomings were noted in the project monitoring, the validation process of the BIM deliverables and the BIM players’ competency level in fulfilling the specified BIM contractual requirements.

Practical implications

The study contributes to a practical understanding of how BIM can affect project administration and how a public client can improve contractual risk allocation in future BIM implementation.

Originality/value

This paper discloses the current practices of contract administration to better understand the impacts of BIM management during the pre-contract and post-contract stages of a BIM-based construction project.

Abstract

Purpose

Facilities management (FM) plays a key role in the performance of businesses to ensure the comfort of users and the sustainable use of natural resources over operation and maintenance. Nevertheless, reactive maintenance (RM) services are characterised by delays, waste and difficulties in prioritising services and identifying the root causes of failures; this is mostly caused by inefficient asset information and communication management. While linking building information modelling and the Internet of Things through a digital twin has demonstrated potential for improving FM practices, there is a lack of evidence regarding the process requirements involved in their implementation. This paper aims to address this challenge, as it is the first to statistically characterise RM services and processes to identify the most critical RM problems and scenarios for digital twin implementation. The statistical data analytics approach also constitutes a novel practical approach for a holistic analysis of RM occurrences.

Design/methodology/approach

The research strategy was based on multiple case studies, which adopted university campuses as objects for investigation. A detailed literature review of work to date and documental analysis assisted in generating data on the FM sector and RM services, where qualitative and statistical analyses were applied to approximately 300,000 individual work requests.

Findings

The work provides substantial evidence of a series of patterns across both cases that were not evidenced prior to this study: a concentration of requests within main campuses; a balanced distribution of requests per building, mechanical and electrical service categories; a predominance of low priority level services; a low rate of compliance in attending priority services; a cumulative impact on the overall picture of five problem subcategories (i.e. Building-Door, Mechanical-Plumbing, Electrical-Lighting, Mechanical-Heat/Cool/Ventilation and Electrical-Power); a predominance of problems in student accommodation facilities, circulations and offices; and a concentration of requests related to unlisted buildings. These new patterns form the basis for business cases where maintenance services and FM sectors can benefit from digital twins. It also provides a new methodological approach for assessing the impact of RM on businesses.

Practical implications

The findings provide new insights for owners and FM staff in determining the criticality of RM services, justifying investments and planning the digital transformation of services for a smarter provision.

Originality/value

This study represents a unique approach to FM and provides detailed evidence to identify novel RM patterns of critical service provision and activities within organisations for efficient digitalised data management over a building’s lifecycle.

Abstract

Purpose

The Operations and Maintenance (O&M) cost of a facility is typically 60–85% of the total life cycle cost of a building whereas its design and construction cost accounts for only 5–10%. Therefore, enhancing and optimizing the O&M of a facility is a crucial issue. In addition, with the increasing complexities in a building's operating systems, more technologically advanced solutions are required for proactively maintaining a facility. Thereby, a tool is needed which can optimize and reduce the cost of facility maintenance. One of the solutions is Augmented or Mixed Reality (AR/MR) technologies which can reduce repair time, training time and streamline inspections. Therefore, the purpose of this study is to establish contextual knowledge of AR/MR application in facilities operation and maintenance and present an implementation framework through the analysis and classification of articles published between 2015 and 2022.

Design/methodology/approach

To effectively understand all AR/MR applications in facilities management (FM), a systematic literature review is performed. The Preferred Reporting Items for Systematic Reviews and Meta-Analysis (PRISMA) protocol was followed for searching and describing the search strategies. Keywords were identified through the concept mapping technique. The Scopus database and Google Scholar were employed to find relevant articles, books and conference papers. A thorough bibliometric analysis was conducted using VOS Viewer and subsequently, a thematic analysis was performed for the selected publications.

Findings

The use of AR/MR within facilities O&M could be categorized into five different application areas: (1) visualization; (2) maintenance; (3) indoor localization and positioning; (4) information management and (5) indoor environment. After a thematic analysis of the literature, it was found that maintenance and indoor localization were the most frequently used research application domains. The chronological evolution of AR/MR in FM is also presented along with the origin of publications, which showed that the technology is out of its infancy stage and is ready for implementation. However, literature showed many challenges hindering this goal, that is (1) reluctance of the organizational leadership to bear the cost of hardware and trainings for the employees, (2) Lack of BIM use in FM and (3) system lagging, crashing and unable to register the real environment. A preliminary framework is presented to overcome these challenges.

Originality/value

This study accommodates a variety of application domains within facilities O&M. The publications were systematically selected from the existing literature and then reviewed to exhibit various AR/MR applications to support FM. There have been no literature reviews that focus on AR and/or MR in the FM and this paper fills the gap by not only presenting its applications but also developing an implementation framework.

Abstract

Purpose

Global building failures, such as the Grenfell Tower fire in London, UK, emphasised the need for trustworthy building handover information for safety. However, a notable gap remains in understanding how reliable handover information can ensure the safety of occupants. This study aims to investigate the use and essential quality of handover information to understand the effects of the quality of information on the management of commercial buildings.

Design/methodology/approach

Ninety-four participants from nine organisations who regularly use handover information to manage multiple commercial buildings participated in the semi-structured interviews. Qualitative thematic coding using interview transcripts was performed to identify the utilisation of handover information and its quality requirements.

Findings

This study reveals that as-built drawings and product information are predominately used to fulfil statutory obligations, comply with the organisation’s internal policies, evaluate asset valuation and make informed decisions about capital investment and operating expenses. The quality dimensions of “accuracy”, “timeliness”, and “completeness” are preferred in combination to achieve desired outcomes.

Research limitations/implications

This study focused on using handover information in the management of commercial buildings. However, its results can offer valuable perspectives for improving its application across various sectors in the built environment.

Practical implications

The findings affirm the need for quality handover information for safety, compliance and efficient management in commercial buildings.

Originality/value

This research significantly contributes to the current knowledge of handover information in the building sector. Given the study findings, building owners are equipped to define specific handover information requirements and quality requisites.

Abstract

Purpose

This study aims to analyze the facilities managers’ involvement over the project life cycle phases (PLP), based on theoretical knowledge, consensus from empirical assessment of facilities managers and consultants’ practices.

Design/methodology/approach

A literature review was undertaken to determine the different tasks that facilities managers typically handle, identify project phases and their underlying activities in which facilities managers would be involved. This was followed by targeting a group of consultants to build a consensus, upon the identified involvement of facilities managers, over the PLP, while measuring the level of involvement from a representative group of facilities managers in Saudi Arabia. A matching between the perceptions and practice has been performed to serve as recommendations for future research on improving the practice in Saudi Arabia.

Findings

The involvement of facilities managers in the PLP is relatively low, according to the consultants’ perceptions. Consultants perceive that facilities managers should be involved in more professional activities, which would ultimately improve projects’ delivery to clients.

Practical implications

The involvement of facilities managers over the PLP ensures effective delivery of projects and reduces the multiplicity of challenges at the operation and maintenance phase. The viewing of facility managers’ involvement adds to the effectiveness of their role within the building industry.

Originality/value

This paper investigates the consultants’ perception of the involvement venues for facility managers to perform activities which are evaluated to be “mandatory,” “advantageous” or “not necessary.” The study reflects the state of facilities management practice, and the consensus of consultants toward the role of the facility managers through the PLP.

Abstract

Purpose

Effective facility management (FM) can reduce environmental effects on buildings throughout their life cycle. This study aims to investigate the challenges in implementing building information modelling (BIM) for FM in government buildings in Thailand.

Design/methodology/approach

Eight government-building facility experts were interviewed using an in-depth interview method to identify FM challenges. The collected qualitative data were analysed via thematic analysis to ensure data saturation. The final questionnaire was designed with 45 FM problems, classified into management, technical and human resource problems, to collect quantitative data from 54 government FM officers. The data were used to prioritise the severity and frequency of the FM problems using the severity index (SI) and relative importance index (RII).

Findings

Management problems have the highest impact, with an average SI of 0.285, followed by human resource (average SI = 0.266) and technical (average SI = 0.264) problems.

Originality/value

This study identifies the government-building FM problems in Thailand that are critical to the development of a BIM execution plan (BEP) guideline. The findings can facilitate strategy development for government-building operations and management in line with the public procurement and supply administration of Thailand. These findings can serve as a guideline to inform the development of a BIM Roadmap for integration into the national digital roadmap and the Thailand 4.0 policy to mitigate construction-related environmental and climate issues.
