Abstract
Purpose
There is an increased interest for introducing activity-based offices at universities. The purpose of this study is to contribute to the knowledge about the importance of the built environment for the psychosocial work environment within academia by analyzing how staff at a large Swedish university experienced the physical and psychosocial work environment before and after moving to activity-based offices.
Design/methodology/approach
A Web-based survey was distributed to all employees at two faculties at a university three months before (2015, n = 217, response rate 51 per cent) and nine months after (2016, n = 200, response rate 47 per cent) relocation to a new activity-based university building.
Findings
In the new premises, a vast majority (86 per cent) always occupied the same place when possible, and worked also more often from home. The social community at work had declined and social support from colleagues and supervisors was perceived to have decreased. The participants reported a lower job satisfaction after the relocation and were more likely to seek new jobs. No aspects in the physical or psychosocial work environment were found to have improved after the relocation.
Research/limitations implications
The study had a two-wave cross-sectional design, which does not allow establishing causal relations.
Practical implications
There is reason to be cautious about relocation to activity-based offices at universities. The potential savings in costs for premises may lead to may be followed by an increase in other costs. The risk that staff cannot concentrate on their work in activity-based university workplaces and lose their sense of community with colleagues are factors, which in the long run may lead to decreased efficiency, more conflicts and poorer well-being.
Originality/value
This paper contributes with new knowledge concerning changes in the physical and psychosocial work environment when relocating from cell offices to activity-based offices in a university setting.

Abstract
Purpose
The purpose of this study is to explore which factors may explain the high or low percentages of satisfied employees in offices with shared activity-based workplaces.
Design/methodology/approach
The paper compares data on employee satisfaction from two cases with remarkably high satisfaction scores and two cases with significantly lower satisfaction scores (total N = 930), all of the same organisation. These cases were selected from a database with employee responses to a standardised questionnaire in 52 flexible work environments. In the four case studies, also group interviews were conducted.
Findings
Overall, there are large differences in employee satisfaction between cases with, at first sight, a similar activity-based office concept. The main differences between the best and worst cases regard employee satisfaction with the interior design, level of openness, subdivision of space, number and diversity of work places and accessibility of the building. Employee satisfaction shows to be influenced by many physical characteristics of the work environment and by the implementation process. Satisfaction with the organisation may have an impact as well.
Research limitations/implications
Almost all cases regard Dutch organisations. Due to the lack of quantitative scales to define the physical characteristics of the work environment, the study is mainly descriptive and explorative and does not include advanced multivariate statistical analyses.
Practical implications
The data revealed clear critical success factors including a supportive spatial layout to facilitate communication and concentration, attractive architectural design, ergonomic furniture, appropriate storage facilities and coping with psychological and physical needs, such as privacy, thermal comfort, daylight and view. Critical process factors are the commitment of managers, a balance between a top-down and a bottom-up approach and clear instructions on how to use activity-based workplaces.
Originality/value
The study connects descriptive research with inductive reasoning to explore why employees may be satisfied or dissatisfied with flex offices. It is based on a combination of quantitative survey data from 52 cases and a closer look at two best cases and two worst cases based on qualitative data from interviews and personal observations. The study has high practical value due to the integral approach that incorporates many items of the physical environment and context factors like the implementation process.

Abstract
Purpose
The purpose of this article is to aid conceptualization of social well-being at work by identifying its components in a contemporary office context, so adequate measures can be developed to monitor social well-being and to assess the impact of interventions in the workplace.
Design/methodology/approach
This study used existing interview data from recent post-occupancy evaluations of two large activity-based flexible offices in the Dutch public sector. Data-driven concept mapping of 182 different employees' statements on social aspects of well-being was used to find communalities in their perceptions.
Findings
From the data 14 key concepts emerged referring to employees' social needs, reactions to (anti-)social behaviour of others and perceived social affordances of the work environment. Contrary to established theory, social well-being appeared to be a context-bound phenomenon, including components of both short-term hedonic and long-term eudaimonic well-being.
Research limitations/implications
The findings serve as an inductive source for the further development of adequate measures of social well-being at work. Limitations concern the specific (cultural) setting of the cases and the use of existing data.
Practical implications
Preliminary suggestions for fostering social well-being include change management, participatory design, being alert of the identified risks of activity-based offices and supporting privacy regulation, identity marking and a sense of community, as well as a diversity of informal face-to-face interactions balanced with quiet spaces.
Originality/value
This article contributes to the conceptualization of social well-being in contemporary offices by discussing established social well-being theory and analysing real-world data, using a method novel to management research.

Purpose
Corporations balancing real estate holding (CRE) costs with recruitment-retention increasingly use activity-based flexible offices (AFO) to right-size environments for a mobile workforce. In this layout, workers have the option to select between a mix of unassigned workstations and alternative work settings (AWS) that support autonomy and mobility. The open layout encourages visibility and access to colleagues to enhance communication and collaboration. Nevertheless, studies into the effects of AFO environment attribute effects on worker needs and work outcome are sparse. Therefore, this study aims to focus on understanding how environmental features and psychological or job needs impact observed and perceived satisfaction, communication, collaboration and perceived productivity.
Design/methodology/approach
Data were collected in a case organization piloting an AFO before implementation across their CRE portfolio. A mixed-methods approach was used, including systematic observations, space syntax and surveys collecting information on the observed and perceived satisfaction, communication, collaboration and productivity.
Findings
Collaboration instances were higher in AWS, especially more visible and accessible open areas, supporting higher impromptu interactions and enhanced perceptions of productivity of team members and cross-team members. Privacy requirements linked to a greater demand for enclosed AWS. Team communication satisfaction depended on how easily teams were located. Almost half of the user teams clustered within workstation zones corresponding to territoriality needs. Job autonomy satisfaction depended on the availability of preferred workstation or AWS, enabling private, uninterrupted work that enhanced perceived productivity.
Practical implications
The case study findings indicated a correlation between the AFO environment and worker needs impacting workplace satisfaction, communication, collaboration and perceived productivity.
Originality/value

Abstract
Purpose
The aim of the current interview study was to investigate how the university staff and their immediate managers perceived the academic work environment after a transition to activity-based workplaces (ABW).
Design/methodology/approach
Interviews were conducted with 11 university lecturers/researchers and 12 academic middle managers, that is, heads of departments or units in a Swedish university.
Findings
The qualitative content analysis revealed four central themes indicating how the academic environment had been affected: challenges related to decision-making and implementation of ABW, interpersonal relations and communication, consequences for academic identity and issues related to the physical work environment.
Research limitations/implications
The non-purposive sampling of participants coming from a single university is a limitation of the current study. More studies are needed to deepen the knowledge and to further corroborate the transferability of the findings.
Practical implications
The savings the universities expect to achieve in terms of reduced costs for premises, when introducing ABW, may lead to other kinds of costs, such as jeopardizing employee performance, comfort and well-being. It is therefore important that the academic staff is empowered and involved during the planning and implementation process of new offices.
Originality/value
The study contributes new knowledge concerning implementation of ABW and its consequences for the academic work environment.

Abstract
Purpose
This paper aims to explore, which characteristics of activity-based offices are related to the position of workers on the burnout – engagement continuum.
Design/methodology/approach
Literature review and an online survey amongst knowledge workers in the Netherlands, which provided data of 184 respondents from 14 organisations. The data has been analysed by descriptive statistics, bivariate analyses, factor analyses and path analysis, to test the conceptual model.
Findings
Five physical work environment constructs were identified of which three showed to have significant relations with employees’ position on one of the three dimensions of the burnout – engagement continuum. Distraction has a direct and indirect (through overload) negative relation with the individual strain (meaning increased exhaustion). Office comfort has indirect positive relations (through recognition and appreciation) with the interpersonal strain (meaning increased involvement). The possibility for teleworking has an indirect positive relation (through control) on the self-evaluation strain (meaning increased efficacy).
Practical implications
The findings show that in the design and management of a healthy physical work environment, corporate real estate managers and human resource managers should particularly pay attention to lowering distraction, providing comfortable workplaces and considering the option of teleworking to some extent.
Originality/value
This paper provides new insights into the impact of distinct activity-based workplace characteristics on workers’ position on the burnout – engagement continuum.

Abstract
Purpose
The paper aims to explore the relationship between office occupier work activity and workplace provision. It tests the proposition that location-fixed office workers are not well-supported in the working environment as location-flexible office workers. The research also explores the perceptions of the workplace provision based upon the types of tasks completed at the desk-location, whether this was collaborative or focussed.
Design/methodology/approach
The research adopts a cross-sectional approach using an online questionnaire to collect data from several offices in the Middles East. The dataset consists of 405 responses. One-way analysis of variance was conducted to understand the relationship between location flexibility and perception of productivity. In addition, a series of t test were used to evaluate the relationship between work activities and office environment.
Findings
The results show that those workers who were location-fixed perceived the workplace provision to have a more negative impact on their productivity than those who had a greater level of location-flexibility, particularly with regards to noise levels and interruptions. In terms of types of activities, those that undertook more collaborative tasks valued the facilitation of creativity and interaction from the workplace provision.
Research limitations/implications
The research has limitations as data collection was at one-point in time and therefore lacks the opportunity to undertake longitudinal analysis. However, the research gives greater insights into the alignment of office environments based on flexibility and work activity.
Practical implications
The paper identifies implications for the design and development of office environments by identifying the need for office occupier activity profiles. These profiles can underpin data-led design which should promote a tailored choice appropriate work setting that can maximise productivity.
Originality/value
This paper contributes to the research area of workplace alignment. It establishes that optimal workplace alignment requires a better understanding of office occupier needs based on location-flexibility and work activity.

Abstract
Purpose
From poor indoor environmental quality conditions to musculoskeletal discomfort, the interior design of workspaces has the potential to negatively affect human health. One of the key responses from industry has been the rise of health-related guidelines, certification and rating tools. Despite the rapid adoption of such tools by the Australian high-end corporate real estate, there is a scarcity of empirical evidence arising from such premises. This study aims to compare results from certified premises against other open-plan offices to understand differences arising from occupants’ satisfaction, perceived productivity and health.
Design/methodology/approach
A total of 1,121 post-occupancy evaluation (POE) surveys conducted in 9 offices were analyzed. All these premises hold a certification from the Green Building Council of Australia and two achieved a WELL rating. The analysis is performed in three parts: comparing WELL-certified (2 cases) and non-WELL certified (7 cases) offices along with comparison with a benchmark of 9,794 POE surveys from the BOSSA database, comparing activity-based working (ABW) (5 cases) and traditional (4 cases) offices along with comparison with BOSSA database and qualitative study of the similar design features in all 9 offices accompanied with an in-depth analysis of the health-related issues that might have occurred because of poor ergonomic design. For the first two parts, several t-tests are performed.
Findings
Highest scores for overall satisfaction, workability, perceived productivity and health were reported on WELL-rated premises. Offices incorporating active design principles outperformed others on workability, satisfaction with work area, collaboration, unwanted interruptions, perceived productivity and health. ABW environments outperformed the traditional offices on spatial comfort, thermal comfort, noise and privacy, personal control, comfort of furnishing, adjustability of the work area and space to collaborate. People using sit–stand workstations reported spending significantly less time seated and female workers were more prone to reporting pain over the past 12 months. The best-performing offices implemented active and biophilic design, prioritized overall ergonomics and different spaces designed to support a variety of work-related activities.
Originality/value
This research conducts a comparison between certified premises against other offices in terms of occupants’ satisfaction, perceived productivity and health. A qualitative analysis is also conducted to investigate personal and physical environmental aspects. The way of working (ABW or traditional), implementation of active design features, self-reported musculoskeletal discomfort and physical activity were also investigated. The study has taken a holistic approach to investigate many health-related physical, environmental and emotional aspects in certified workspaces.

Abstract
Purpose
To study effects of different sources of noise in office environments on perceived productivity, how different types of employees cope with different noise sources, and the perceived effect of different coping strategies on individual productivity.
Design/methodology/approach
Data on coping behavior and noise perception was collected through a survey among 150 employees of 3 organizations with an office in the Netherlands. These were analyzed with X2-tests and the lift-ratio.
Findings
When coping with noise, people are most inclined to either “Make even a greater effort” or “Discuss the noise problem with colleagues,” despite the expectation that this does not have a major positive effect on their productivity. Overall, approach coping strategies were chosen less often than the avoidance coping strategies. There are clear preferences for specific coping strategies when exposed to specific noise sources. Personal differences did not appear to relate to the perception of noise sources but did show differences in coping behavior as well.
Originality/value
This study adds insights about preferred coping strategies for specific noise sources, differences in these preferences related to specific personal characteristics, and how successful these strategies are perceived to be with regard to support of individual productivity.

Abstract
Purpose
The purpose of this paper is to identify and discuss opportunities for health promotion through the workplace environment, adopting a “salutogenic” perspective of health which more explicitly focuses on factors that support human health and well-being, as opposed to factors which cause disease.
Design/methodology/approach
In the introduction, the salutogenic model of health and the Environmental Demands-Resources model are discussed, providing a conceptual framework to represent the workplace environment as a composite of pathogenic “demands” and salutogenic “resources”. Subsequently, a narrative review is performed to discuss the existing literature from the perspective of this novel framework, identifying environmental resources which might strengthen the three components of an employee’s “sense of coherence” (comprehensibility, manageability and meaningfulness), an individual orientation associated with more positive health outcomes.
Findings
Comprehensibility can be supported by effectively implementing a clear set of rules governing the use of the workplace. Manageability can be supported through biophilic design solutions, and through design which supports social cohesion and physical activity. Meaningfulness can be supported by recognising the importance of personal identity expression and through design which reinforces the employees’ sense of purpose.
Originality/value
The salutogenic perspective is a potentially valuable but relatively under-considered paradigm in workplace practice. The key contribution of this paper is to encourage researchers and practitioners to recognise the crucial role that an individual’s sense of coherence plays in supporting higher levels of physical and mental health, so that they increase their ability to provide truly “healthy” workplaces, capable of promoting health as well as minimising the risk of disease.
