Abstract

Purpose

The purpose of this paper is to introduce a comprehensive framework that covers the major dimensions of performance-oriented office environments including involved actors and performance parameters on the one hand, and the processes and success factors of implementation and change management of such workspace projects on the other hand, with their interaction to be considered as well. This framework can serve as a first guideline and rough “checklist” to support such projects, both in research and practice.

Design/methodology/approach

The framework was developed and refined by combining international literature analyses, industry experience from the authors and application of first conceptual ideas to a pilot project. The methodology of the whole endeavor, not only this paper, is a grounded theory approach, acknowledging the intermediate state of prior theory regarding workspace change projects. The framework will thus be further developed with additional case-based empirics in the future.

Findings

The framework addresses the design parameters (the content) of (re)developing performance-oriented office environments as well as the management (the processes) of this (re)development including its implementation. Due to the considerable number of dimensions and factors relevant for workspace projects in addition to their interaction and dependency as well as the individuality of situation and stakeholders, the probability of workspace project failure is high. Knowing the parameters of workspace change project success and measures to be tracked and checked during the design and implementation processes of such projects is therefore imperative. Suggestions for operationalizing the relevant factors are made. Equally important is to understand and address individual emotions and concerns of those being involved in or affected by the change situation, and to inform and include them adequately. The comprehensive framework provides a respective first overview.

Research limitations/implications

The framework is conceptual, based on many sources. Yet, the exhaustive inclusion of all research on the many relevant factors is neither feasible nor intended. The paper rather tries to be comprehensive on the dimensions to be considered and to only exemplarily concretize how to handle this complexity in a manageable and practical way. Future research needs to test and adapt the proposed framework, to detail key performance indicators (KPIs), indicators and processes suggested, and to develop an according planning and controlling system.

Practical implications

The paper pictures key aspects for the effective design and change management of holistic workspace projects. KPIs as well as leading indicators are introduced that can be used to measure the various dimensions in an ongoing process throughout all phases of the project, enabling the organization to anticipate or at least rapidly react to problems arising. Accordingly, success factors for managing workspace change are collected and structured along the workspace dimensions including actors and performance.

Originality/value

The originality of this study lies in the approach to comprehensively integrating design and change management parameters of workspace projects, the explicit performance orientation and the inclusion of the multitude of actors (i.e. users, facilities management, Human Resources, ICT). Instead of the design and its implementation only being supported by change management, the organizational environment and its needs – like way of working, organization models, performance priorities and change capabilities – are driving the design, which constitutes a new approach in the design activity.

Abstract

Purpose

The purpose of this paper is to examine the phenomenon of activity-based working (ABW), an office design and management system that has emerged in the past 20 years. It investigates its manifest and underlying agendas with a view to determining its degree of cost management focus and scientific management foundations.

Design/methodology/approach

The paper uses historical and website analysis methodologies for investigating historical office management philosophies and practices, as well as contemporary office design and management philosophies and related ABW practices and discourse. These are examined through the theoretical lenses of governmentality and impression management theories.

Findings

Despite a rhetoric of staff empowerment, ABW’s dominant agenda is overhead cost reduction and operating cost management. This reflects scientific management principles of early twentieth-century office design and management. Cost efficiencies and productivity emerge as key ABW output foci. While ABW adopters and advocates present ABW as a desirable staff satisfaction and operations facilitator, the cost agenda nonetheless commands centre stage.

Research limitations/implications

Accounting research into the office and its processes is much needed. This has been largely neglected in favour of line management and factory floor costing and accountability systems. In a world dominated by service industries, the office as a centre of organisational and economic activity merits researchers’ greater attention.

Practical implications

Contemporary office design and functioning developments merit greater recourse to and acknowledgement of their historic roots. Then, practitioners can better design and implement systems that build on past knowledge and learnings. While such innovations as ABW may carry potential for improved organisational performance, care is needed with respect to their balancing of agendas and suitability for their institutional and cultural environments.

Social implications

Organisational work has become a dominant part of social life in most economies today. Such innovations as ABW must be considered in terms of the societal culture into which they are introduced: how they reflect and adapt to that culture and what impacts they may also have on the culture itself. This includes dimensions such as organisational and self-control, as well as personal and organisational accountability.

Originality/value

This study presents itself as one of the very few refereed research studies of ABW currently available in the accounting, management or property research literatures. It also represents one of the very few studies of the office in the accounting research literature internationally.

Abstract

Purpose

The purpose of this study is to describe the success story of a software company, Adobe, in redesigning the workplace environment from cubicles to a connected collaborative workplace, which helped the organization optimize workplace usage. The goals were to design an innovative work environment to optimize the usage of the office portfolio, improve workplace service quality and infrastructure facilities of the portfolio, increase employee productivity, reduce technology costs, engage employees in a better way to enhance employee satisfaction, align workplace design with the brand, mobilize technology and enable a globalized workforce to facilitate higher productivity.

Design/methodology/approach

An exploratory research design method was adopted using the purposive sampling technique to collect data through semi-structured interviews with a team of nine property professionals from the operations team responsible for workspace redesign at Adobe in India.

Findings

The main observations of the corporate real estate (CRE) manager were on what value parameters drive workplace redesign and how different software companies were creating strategies to manage workplace design or redesign change for optimal use of the organization portfolio. To discuss the CRE strategies of global software leaders, IBM and SAP were pointed out in this case.

Research limitations/implications

The number of interviews were limited. The related parameters for workplace transformation are not necessarily complete. However, the parameters are regarded to include the most important aspects of workplace redesign.

Practical implications

This study provides useful insights into how benchmarking in the workplace transformation function of the CRE industry can be applied to address portfolio-related challenges, divergent employee needs and improve workspace usability following energy-efficient policies. Practitioners can use this study as a guide to develop more effective workspace designs.

Social implications

This study may guide other firms on successful workspace design initiatives that may overcome many obstacles in the workplace transformation process to have their intended impact on workplace efficiency and employee satisfaction. The case can be used as an inspiration for developing specific user-focused innovative workspace design in practice.

Originality/value

Adopting the theoretical background of the person–environment fit theory, this study adds to the understanding of the operational model of a digitally connected workspace designed as per real estate needs and strategies to manage the CRE portfolio of the company.

Abstract

Purpose

The aim of this paper is to investigate time‐factors in occupant‐environment relationships.

Design/methodology/approach

The paper analyses satisfaction ratings on 12 workplace environment features collected from more than 5,000 occupants in 48 office buildings in Australia. The database is divided into seven environment categories: first occupied after construction; new occupation after major update; recent relocation into an existing environment; re‐occupying an environment after refurbishment; relocation of workspace in an existing environment; acclimatised occupation of a refurbished workspace; and continued occupation of an existing environment. Cumulative frequency profiles of the collected ratings for each of these categories are analysed qualitatively and quantitatively.

Findings

The study shows that updated environments which are occupied by the same organisation before and after refurbishment are more successful than environments which are occupied by a new organisation after update. New buildings provide the greatest number of satisfied occupants. While many workplace design aspects are successfully addressed in newly designed and updated environments, satisfaction with acoustic and visual design features is equally poor in all investigated environment categories.

Originality/value

The study develops understanding of which environment categories, defined by the duration of the occupant‐environment relationships, are most successful in providing satisfying design features. The study thereby provides advice for facility management decision making.

Abstract

Purpose

The purpose of this paper is to examine the impact of early design decisions made in the 1980s upon the future adaptability of the Gateshead Civic Centre building and the implementation of a workspace strategy in the 2010s, and how they have supported the efficiencies achieved through the increase in office workspace numbers, and the associated advantages of accommodating more employees within the Civic Centre.

Design/methodology/approach

Available documents related to the original development of the Gateshead Civic Centre and the 2010s workspace-related adaptations were examined to establish potential links between the two, and compare the findings with designing for adaptability-related research.

Findings

The results show that the early design decisions made in the 1980s have contributed to the future adaptability of the building and thus facilitated the implementation of a workspace strategy within Gateshead Metropolitan Borough Council in the 2010s. In addition, they have supported the achievement of other efficiencies through the increase in office workspace numbers and location of more employees within the Civic Centre. The findings can guide future trends within the Council, as well as inform organisations on the potential benefits of designing for adaptability.

Originality/value

The study provides a prospective consideration of how an early design decision influenced the long-term adaptability of the building.

Abstract

Purpose

This paper aims to examine the implementation of a workspace strategy within Gateshead Metropolitan Borough Council. It identifies the efficiencies that were achieved through the increase in office workspace numbers, as well as the associated advantages of locating more people within the Civic Centre. Equally, this study examines the users’ perspective.

Design/methodology/approach

A survey was carried out in 2013, with Property and Design Services as a sample Council Department, to identify employees’ level of satisfaction with the implementation of the strategy. A paper-based questionnaire was handed to all participants. The primary comparison was their experience before and after changes to the workplace.

Findings

The results show that government targets for office space utilisation have been exceeded, thus supporting more efficient property asset management. The research has also established that the employees are generally satisfied with their new workspace.

Research limitations/implications

The issues are whether the reduced space per person can be mitigated by the design, and whether efficiency gains can be introduced without adversely affecting the users’ perception of their workplace.

Practical implications

The findings can guide future trends within the Council, as well as informing the implementation of similar workspace strategies in other organisations.

Originality/value

The originality of the study lies in a workspace strategy where the responses of users were taken seriously. Despite some concerns about distractions and lack of privacy, the employees responded that their overall satisfaction, and perceived productivity were unaffected by the strategy and reduced space per person.

Purpose

The purpose of this paper is to use an affordance approach to understand how university faculty use and value their workspace and respond to proposed spatial changes.

Design/methodology/approach

A mixed method survey was given to faculty in the college of engineering at a large public American university. Data were analyzed using an affordance lens.

Findings

The analysis indicates that the majority of engineering faculty highly value private offices and appears resistant to non-traditional workspace arrangements.

Research limitations/implications

The authors performed the analysis with a relatively small sample (n=46).

Practical implications

University administrators need to communicate with faculty and take their opinions on spatial changes seriously. Changes to space may affect STEM faculty retention.

Social implications

This paper could affect the quality of work life for university faculty.

Originality/value

The paper provide needed research on how faculty use and value their workspace while discussing the implications of alternative workspaces within the academy. Theoretically, the authors contribute to ongoing research on relationship between material and social aspects of organizational spaces.

Abstract

Purpose

to evaluate the experiences of knowledge workers who work in shared workspaces and those who moved from single-cell offices to shared workspaces.

Design/methodology/approach

Knowledge workers were surveyed before and after 34% moved from single-cell offices to shared workspaces. The authors exploit this panel design in the analysis.

Findings

Shared offices were rated as providing more distraction, less privacy and worsened indoor environment quality (IEQ) (p < 0.05). Perceptions of collaboration and networking also declined in shared workspaces. Distraction and a lack of privacy were negatively associated with self-reported productivity (p < 0.10). Neither IEQ nor collaboration nor networking was significantly associated with productivity. The perceptions of those who moved to shared workspaces and those who had worked in shared workspaces all along were statistically indistinguishable.

Research limitations/implications

The quasi-experimental control provides evidence that it is the office type, not the experience of moving, that accounts for the evaluative changes. There are limitations inherent in using a self-rating performance measure.

Practical implications

Organisations should be aware that the positive outcomes ascribed to shared spaces may not be apparent and that demands may outweigh benefits.

Originality/value

Knowledge workers are particularly impacted by distraction and interruptions to concentrated work. The quasi-experimental design controlled for the Hawthorne effect, demonstrating that it is the office type, not the move, that accounts for differences in perceptions.

Purpose

Construction industrialization is emerging in the construction industry, as a result, buildings with prefabricated assemblies are gaining more and more ground. In most situations, the prefabricated building assemblies are installed by labor crews manually. If some assemblies are ill-designed, clashes between labor crews’ workspaces and them may occur, which will have bad effect on workers’ productivity and even incur hazard. The purpose of this paper is to provide a 4D building information modeling (BIM) based approach to find potential workspace conflicts during the installation process of prefabricated building assemblies in the detailed design process so as to eliminate them in advance.

Design/methodology/approach

First, a workspace modeling method is provided; second, three kinds of workspace conflicts are analyzed; third, a 4D-BIM-based approach is established; fourth, a prototype tool based on the approach is developed; and finally, a case study is conducted to test the tool.

Findings

The result shows that the proposed tool can detect or precaution workspace conflicts and visualize them in a series of views; in doing so, valuable information can be obtained for improving the design quality of prefabricated assemblies.

Research limitations/implications

The proposed approach and tool only concern the congestions caused by ill-designed prefabricated components; the tool needed to be further optimized for speed; the tests on the tool are limited to a single case study; and more tests are needed to verify its effectiveness.

Originality/value

This research provides a 4D-BIM-based approach and a prototype tool for installation workspace analysis. It can be used to provide support for design optimization of prefabricated building assemblies.

Abstract

Purpose

Organisational strategy becomes reality by connecting organisation’s resources and capabilities in daily operations, and physical workspace is one of the environments in which this takes place. This study aims to explore to what extent factors required for successful strategy implementation are considered when designing, using and managing workspaces of knowledge-intensive organisations.

Design/methodology/approach

For the study, managers in 25 large and medium-sized knowledge-intensive organisations were interviewed. The semi-structured interviews focused on organisation’s strategy, strategy implementation practices and workspace design and management. To form a comprehensive framework of strategy implementation success factors for the study, the factors of 11 frameworks were analysed, grouped and renamed.

Findings

Current workspace design, usage and management mainly support human-related strategy implementation factors. However, both organisation- and human-related factors are needed for the strategy implementation to be successful. Therefore, the organisations studied may have unused potential in their workspaces to ensure strategy-aligned operations and behaviour.

Practical implications

Due to the potential imbalance between organisation- and human-related strategy implementation factors, a more holistic, organisational-level approach to workspace design, usage and management is recommended to ensure the success of strategy implementation.

Originality/value

Workspaces have extensively been studied from individual strategy implementation factors’ as well as employees’ perspectives. Prior to this work, there are only few studies exploring workspace in the holistic, strategy implementation context.
