Abstract

Purpose

The purpose of this paper is to discuss issues associated with open access (OA) to electronic theses and dissertations (ETDs) and to describe the University of Waterloo E‐thesis Project and its partnerships with Theses Canada and the Networked Digital Library of Theses and Dissertations.

Design/methodology/approach

UW E‐thesis Project decisions on issues associated with electronic submission and OA are presented. Partnerships with Theses Canada and the Networked Digital Library of Theses and Dissertations are described and the goals and activities of these organizations are outlined.

Findings

Author‐created metadata form the UW E‐theses searchable database of records that link to theses in full text. The metadata are OAI compliant and are harvested by Theses Canada and the ETD Union Catalog. The E‐theses Project supports authors' rights while minimizing access restrictions and encourages innovations while respecting the value of gradually evolving thesis standards and traditions. The success of the UW E‐thesis Project illustrates that progress can be made toward the OA paradigm for theses and dissertations while upholding perennial values. Collaborations with like‐minded organizations support and advance these goals.

Originality/value

Academic librarians and graduate studies officers will find this e‐thesis project description and this discussion of issues relevant to planning and maintaining electronic thesis submission and access systems at their own universities. The descriptions of the benefits of the partnerships may prompt readers to make similar connections themselves.

Abstract

Most UK university theses are only available in paper format but could be more accessible if electronic submission were commonplace. The University Theses Online Group has been working to secure academic support for electronic submission, conducting a survey of authors’ and supervisors’ attitudes and organising a seminar. Potential problems such as plagiarism must be addressed but there are also many benefits for universities, authors and users of theses in electronic submission and availability. The UK group is in touch with similar developments in other countries.

Abstract

Purpose

The purpose of this study is to investigate the performance of electronic theses and dissertations (ETD) initiatives in the repositories of federal government-owned universities due to the poor global visibility of ETDs from Nigeria.

Design/methodology/approach

An explanatory case study empirical research method was adopted for the study. Using an adapted methodology of Ghosh (2009) and multiple data gathering techniques, data was collected based on the three domains of the network of excellence on digital libraries (DELOS) digital library reference model.

Findings

The ETD initiatives in repositories of Nigerian federal universities have not made remarkable progress as digital libraries based on policy, content and system architecture. The specificity of ETDs is not clearly stated in the policies where available. The repositories housing the ETDs are also not compliant with the open archive initiative-protocol for metadata harvesting framework.

Research limitations/implications

The study focussed on ETD initiatives in federal government-owned universities. Although the findings of the study are relevant to other institutions in Nigeria and sub-Saharan Africa. It cannot be used as a basis for the generalisation based on other performance metrics.

Practical implications

This research study concluded that electronic theses and dissertations in Nigerian institutional repositories are not well managed for effective service delivery and long-term accessibility. The ill-management of the ETD initiatives is the reason for the poor global visibility and accessibility of these research output from this part of Africa.

Originality/value

The study assessed ETD initiatives using constructs from a theoretical framework.

Abstract

Purpose

This paper aims to examine some of the digitization projects at the library of the University of Jordan. As the library acts as the deposit centre for theses from the Arab world universities, an effective management policy for deposit, management and access is required. The paper illustrates some of the existing workflows and considers the challenges and possible improvements.

Design/methodology/approach

Interviews (n = 8) with library staff in the Information Division provided details about the methods used for the collection and management of print and electronic theses in the University of Jordan, in addition to some digitization projects. In addition, very recent unpublished brochure was collected from one member of staff in the computer applications and databases section to learn about theses deposit statistics from various countries in the Arab world. A business process modelling technique (Riva) (Ould, 2005) using role activity diagram illustrated some of the existing workflows, the challenges and possible improvements.

Findings

Some Arab universities do not send theses on regular basis; some do not collaborate at all. Workflows vary according to the format of the thesis. The number of digitized print theses has reached 77,885 titles, out of total of 84,043, but it is a slow process. All newly submitted theses from Jordanian universities come in print and on a CD, but other external institutions may use different methods (CD only by mail, or direct uploading to the webpage provided by the University of Jordan). The current online system for uploading theses was last updated in 2017. Deposit rates through the system are very low. Access to theses is relatively limited; print theses can be accessed within the library premises. The online theses repository provides full text and all academic staff; students and researchers can access these from any workstation within the university campus. Only registered users may access theses databases (read only) outside the network. Resourcing for digitization is limited, and the digitization itself is currently outsourced although other processes are done in-house.

Practical implications

The paper encourages the use of a practical online theses’ repository to deposit theses from the higher education within the Arab world.

Social implications

Establishing theses repository and ensuring proper and smooth deposit process by Arab universities libraries, would enhance communication and collaboration amongst them.

Originality/value

The paper supports the theme of the primacy of global access to information for learning and scholarship. The paper adds value in the context of theses access amongst Arab universities. As the library acts as the deposit centre for theses from the Arab world universities, an effective management policy for deposit, management, access and preservation is required. The paper provides a set of recommendations that would contribute to raise the visibility of research produced by Arab higher education, through a single source of access to theses.

Abstract

Purpose

The paper describes how Charles Darwin University (CDU) used a three-pronged approach to better serve its researchers: it developed a single interface for improved accessibility and discoverability of its research outputs, consolidated its corresponding policies and procedures and implemented training programs to support the new portal. This in turn made its suite of research outputs more openly accessible and better discoverable. The intention was to make CDU research compliant with the FAIR (Findable, Accessible, Interoperable and Reusable) policy statement, affirming the need to make Australia's research more visible, thereby enabling better access, better collaboration locally and internationally and researchers more accountable to their community.

Design/methodology/approach

This paper uses case study methodology and a qualitative approach.

Findings

CDU Library collaborated with the University’s Research Office in undertaking a series of strategies towards reframing access to its research. The partners migrated their research collections into a single, new, integrated interface; developed new policies and consolidated existing ones; and to this end, rolled out a training and educational program for the research community. The intention of the program was to introduce the Pure repository to new researchers and to train all staff to self archive and curate their own research outputs. This new streamlined approach ensured a more comprehensive and timely availability and accessibility of the University's research outputs.

Originality/value

A single source of truth was established through the migration of iCDU’s research collections, ensuring data quality was maintained. At the start of this project, there were few institutions in Australia using the Pure system, and even fewer using it as their sole repository for displaying research outputs.

Abstract

Purpose

To set up a protocol for electronic thesis and dissertation (ETD) submission for the electronic thesis initiative pilot project at McGill University in Montreal, Canada.

Design/methodology/approach

An electronic thesis and dissertation submission protocol was implemented and tested. To test authoring tools, we had 50 students submit their theses or dissertations using one of four style sheets. Word‐processed files were converted to PDF and XML formats. The pilot project team evaluated DigiTool's effectiveness in digital conversion, capture of metadata and cataloguing, digital content harvesting, digital preservation, and integration with the student information system.

Findings

All theses experienced some degree of information loss during the conversion. DigiTool is still being tested for storage, cataloguing, and dissemination capability. For full implementation, three major issues need to be addressed further: conversion; metadata; and file formats.

Practical implications

Most of the issues that have arisen during the McGill pilot project will be mirrored at other academic institutions that are considering electronic thesis submission.

Originality/value

This paper provides insights into the procedures that will arise as institutions go through the process of introducing electronic thesis and dissertation submission.

Abstract

Purpose

The purpose of this paper is to examine the relative merits of thesis consultation with a librarian prior to graduate submission and to explore whether thesis consultation has a significant impact on the quality of the theses submitted by postgraduate students.

Design/methodology/approach

This study uses a quantitative case study approach. The total number of thesis scrutiny reports written by librarians between 2009 and 2014 has been reviewed for errors found in theses. Errors have been classified as referencing errors and formatting errors. These have been compiled in a spreadsheet and analyzed using the SPSS statistical package.

Findings

This paper highlights that thesis consultation has had a positive impact on the quality of the theses students submitted for examination at the University of the West Indies, Mona Campus. Thesis consultation with a strong focus on referencing clearly assisted students learning and applying different citation styles. There was a decrease in the number of referencing errors over time. Not much difference was seen in terms of formatting errors. Further tests showed that there was a statistically significant positive relationship between thesis consultation and the number of referencing errors made by graduate students.

Practical implications

This study may have implications for the engagement of academic libraries with their graduate communities. With thesis consultation, a librarian may scrutinize the same thesis more than once. Although this may increase the workload of librarians, thesis consultation/scrutiny will have a positive impact on the quality of research produced by graduate students.

Originality/value

This study shows that students benefited from thesis consultation and there was a significant reduction in citation errors. In reviewing the literature, it has been noted that research done in the area of thesis consultation was very limited; hence, this study significantly contributes to the body of knowledge that presently exists.

Abstract

Purpose

The purpose of this paper is to give an overview of ETD (electronic thesis and dissertation) collection development trends to date, with an emphasis on the comparative merits of different national models of digital thesis provision.

Design/methodology/approach

A brief historical narrative combined with commentary from the point of view of the library practitioner.

Findings

The paper finds that the case for the superior benefits of digital thesis services as opposed to print‐only thesis provision has undoubtedly been made. However, the relative merits of different levels of public versus private sector involvement in the national digital thesis system are open to debate, which means that ETD information systems can be structured very differently from one country to another. The US and UK systems are particularly different from each other and form a focus of discussion.

Research limitations/implications

A rich research area in future will lie in the comparison of the performance of the US and the UK systems. This research should elicit opinions from librarians engaged with thesis provision while also compiling objective evidence about which approach provides the better service to end users and which approach more successfully boosts the knowledge economy of each country.

Practical implications

Evidence cited about the strengths and weaknesses of the two digital thesis systems analysed demonstrates the benefits of open access at the immediate level of library service delivery.

Originality/value

This paper attempts to combine insights into national policy making with straightforward recommendations relevant to everyday library practice.

Abstract

Purpose

The aim of this study is to assess the metadata element sets of electronic theses and dissertations that are currently used at Canadian academic institutional repositories, and to discuss issues related to variations and inconsistencies in Dublin Core data used by participating repositories.

Design/methodology/approach

The formats and usage patterns of metadata elements at ten participating institutional repositories are identified and analyzed. Additionally, metadata element variations are grouped by different types.

Findings

Current metadata elements have a significant level of inconsistency and variation.

Research limitations/implications

The observations drawn from this study are limited to Canadian cases only. However, the results provide insights into developing a metadata framework for institutional repositories in other countries.

Originality/value

This study examines empirical data collected from data providers among Canadian institutional repositories. The result of this study may be beneficial to the achievement of interoperability across institutional repositories and to the development of a standardized application profile for Canadian institutional repositories.

Abstract

Purpose

The purpose of this paper is to describe the Electronic Theses and Dissertations program implemented and managed by the Indiana State University since 2009. The paper illustrates issues relating to the background, policies, platform, workflow and cataloging, as well as the publication and preservation of graduate scholarship.

Design/methodology/approach

The authors examined many aspects of the Electronic Theses and Dissertations program and addressed issues dealt before, during and after the publication of the electronic theses and dissertations collection. The approaches the authors utilized are literature review and personal management experience from working on the program.

Findings

Implementing an Electronic Theses and Dissertations program involves providing a series of management services. These services include developing relevant policies, implementing an archiving and publication platform and creating submission and publishing workflows, as well as cataloging, disseminating and preserving the student collection. Openly publishing the collection through a range of access points significantly increases its visibility and accessibility. Adopting several archival and preservation strategies ensures the long-term readiness of the collection.

Originality/value

This paper will provide useful practices for implementing an ETD program to those institutions new to the ETD initiative process. It also contributes to the current body of literature and to the overall improvement of ETD programs globally.
