Abstract

Purpose

This study aims to investigate how the processes of memory acquisition, retention, retrieval and application occur in project-based organizations (PBOs). In this kind of organization, the nature of corporate memory is influenced by the transience, uniqueness and independence of the project portfolio. Such understanding may help practitioners to mitigate the effects of project transience and promote knowledge sharing among project teams.

Design/methodology/approach

An empirical and qualitative study was carried out through a multiple case study approach conducted in three Brazilian Engineering Design Firms, which are organized by projects. Document analysis, direct observation and semi-structured interviews with engineers, project managers and executives were conducted.

Findings

The memory acquisition process takes place in five forms which have different sources and destinations when comparing PBOs with traditional organizational settings. Memory retention in PBOs crosses organizational boundaries and establishes a knowledge network of former employees and third parties. The PBOs project memory can be divided into volatile and perennial memory, where the former can be lost throughout project execution and the latter is internalized, becoming an inseparable part of the corporate memory. Memory retrieval in PBOs is also distinct since it has particular mechanisms depending on whether the knowledge is technical or administrative.

Originality/value

The research investigates the corporate memory processes within the volatile context of PBOs in a Latin-American developing country whose culture favors tacit knowledge exchange. The paper proposes a framework that unveils different patterns of knowledge acquisition, temporary and perennial retention structures, intensive usage of external knowledge in memory retrieval and particular memory applications in PBOs. The framework may guide scholars, project managers, engineers and practitioners in navigating through the uniqueness of organizational learning flows and structures in PBOs.

Abstract

Purpose

The author is a nursing management practitioner, whose purpose in writing this paper is twofold: to examine the impact of corporate memory loss on a health care institution, caused by increasing retirement rates of senior executives; and to use this research as an opportunity for action learning where both the author and the institution can benefit from the learning outcomes.

Design/methodology/approach

Using qualitative research methods based on ethnographic interviewing techniques and grounded theory, the author interviews 12 senior executives from four diverse health care facilities. The purpose is to determine the point at which corporate memory loss, in the form of tacit knowledge in the heads of departing executives, becomes a problem for the institution.

Findings

The research determined that the requisite managerial competencies normally assumed for senior management positions are insufficient to minimize the negative impacts of corporate memory loss caused by departing senior executives. Effective knowledge management and knowledge transfer within the organization are fundamental for ongoing organizational effectiveness.

Research limitations/implications

The research is limited to 12 senior executives. The grounded theory nature of the research provides a framework for more research in other institutions to test and further explore some of the findings.

Practical implications

One of the most significant threats facing the majority of health care organizations related to the aging workforce is the greater number of staff who are retiring from all levels within the organization. The development of techniques to reducing the impact of corporate memory loss on the culture of an organization will increase its effectiveness, help build continuity, and provide a more secure footing for the workforce of the future.

Originality/value

The exit of knowledge workers is causing a major problem for Canada's health care organizations. This study throws more light on to this problem from the point of view of senior executives who have been specifically impacted by the problem of corporate memory loss.

Purpose

This paper aims to describe two themes of information and knowledge management in building corporate memory through curation in complex systems. The first theme describes the skillsets of new memory curators: curation; appraisal; strategist and manager. The second theme describes four concepts that support information management in complex systems: David Snowden’s just-in-time process; Polanyi’s personal knowing; Wenger’s transactive memory system; and David Snowden’s ASHEN database schema.

Design/methodology/approach

Academic journals and professional publications were analysed for educational requirements for information professionals in complex adaptive systems.

Findings

The skills described should be readily applied and useful in a complex adaptive system with the four concepts described. The four concepts displayed features indicating each separate concept could be aligned and integrated with the other concepts to create an information sharing model based on synergy between reasoning and computing.

Research limitations/implications

Research is needed into the capability and potential of folksonomies using recordkeeping metadata and archival appraisal to support peer production information and communication systems.

Originality/value

The author has not found any research that links archival appraisal, user-generated metadata tagging, folksonomies and transactive memory systems governance policy to support digital online, co-innovation peer production.

Abstract

Groups typically are composed of members with different knowledge, information, and expertise. Group discussion provides the means by which members can communicate their unique knowledge to reach better group decisions, develop a shared system for remembering and retrieving knowledge, and establish their expertise through enacted performance. In this chapter, three streams of research are reviewed that explore knowledge communication in groups: Hidden profiles, transactive memory systems, and a performative view of expertise. Each of these three research streams complements and informs the other. Across these three research streams, 10 major research findings are identified. We offer three research directions that include integrating these research streams, examining knowledge communication in the context of emerging technology (e.g., artificial intelligence), and studying effects of knowledge diversity in conjunction with surface-level diversity (e.g., member race).

Abstract

Purpose

Project team members frequently need to learn things already known in other projects, i.e. they need to acquire and assimilate organisational memory. The literature mentions numerous different types of repositories which form an organisational memory, and where organisational knowledge is maintained and into which newly‐acquired knowledge is deposited for later use by other people and teams. However, only seldom does the literature mention individuals' personal notes as a repository of knowledge. The purpose of this paper is to deal with the question of what is the role of individuals' personal notes in remembering in a project work context.

Design/methodology/approach

The conceptual part of the paper deals with the concepts of knowledge, organisational memory, knowledge sharing and motivation to share knowledge. The special focus in this connection is on the external memory aids and individuals' personal notes. Owing to the need to attain a better understanding of the role of individuals' personal notes in a project work context, results of an empirical study conducted in several Finnish project‐based companies are described in detail.

Findings

The results of the study suggest that the project team members' personal notes may play a very important role on the individual level and a rather important role on the team level of project work.

Originality/value

Personal notes making and utilisation of these notes as an external memory aid represents a challenge that many project‐based organisations are only now beginning to acknowledge.

Abstract

Purpose

The purpose of this paper is to describe project‐based companies' knowledge production and memory development with the help of autopoietic epistemology.

Design/methodology/approach

The discussion first defines the concept of a project‐based company. Then the discussion deals with the two epistemological assumptions, namely cognitivist and autopoietic epistemological assumptions. After that there follows an illustration of the concept of organisational memory. The main content of this article follows – namely the study on the autopoietic knowledge production and organisational memory development in the context of project‐based companies.

Findings

Knowledge production in a project‐based company means that an individual team member, a project team and a project‐based company itself produce knowledge consistent with currently shared knowledge. That is, a project‐based company's accumulation of organisational memory at various organisational levels is an expression of change in knowledge that always maintains compatibility between the autopoietic system (i.e. team member, project team or project‐based company) and its environment.

Originality/value

The current theories about knowledge production and organisational memory development in project‐based companies are largely based on the idea of codability and transferability of knowledge between the people and across the borders. This type of thinking is based on the traditional cognitivist epistemology that means that knowledge represents external reality. The new autopoietic approach suggests transition from these theories to the theory of knowledge production as a creational matter, which type of thinking can potentially provide a new explanation for project‐based company's organisational memory.

Abstract

Purpose

The purpose of this paper is to examine the application of intelligent agents (IAs) in organizational memory systems within the larger schema of knowledge management (KM) strategies. This includes targeted roles of IAs in relation to institutional memory approaches.

Design/methodology/approach

A conceptual exploration of related sections of the Grundspenkis seven-layer intelligent enterprise memory framework that serves to identify, retain, deliver and reuse information for future utilization is conducted. Applications of IAs in multiple industries are presented to illustrate the conceptual model in practice.

Findings

This paper identifies arising roles that IAs perform in information search, retrieval and analysis in the organizational memory formation process and extensions that have emerged in a non-linear bi-directional form. These layered roles include obtaining and reapplying important information as part of extended human–machine cognition.

Research limitations/implications

While exploratory and conceptual in nature, this research paper discusses IAs as possible components in the advancement of organization memory.

Practical implications

By analyzing the application of IAs in different industries, across select layers of a KM structure, groundwork is laid for both descriptive research (i.e. where and how artificial intelligence is being used in those industries) and prescriptive practice (i.e. how other industries can benefit from such assistance and what patterns of implementation to expect).

Originality/value

This study explores the role IAs play in helping knowledge workers gather, retain and find relevant information and how KM strategies may assist organizational memory.

Abstract

Purpose

The aim of this study is to develop a psychometrically sound self-report scale of organizational memory. The scale is planned for use in future research to test the relationship between what employees know and their attitudes to passing on their knowledge.

Design/methodology/approach

A total of 72 organizational memory scale items representing six hypothesised dimensions of organizational memory were developed and tested with 143 participants using exploratory factor analysis. The resulting five-factor model was tested with a further sample of 288 employees using structural equation modelling, and the test-retest reliability was examined.

Findings

Five factors of the organizational memory scale were identified. These were: socio-political knowledge, job knowledge, external network, history, and industry knowledge. The dimensions correlated with tenure variables often used as proxies for experience. Structural equation modelling confirmed the five-factor model and the scale achieved adequate test-retest reliability.

Research limitations/implications

The five organizational memory factors are not an exhaustive list. While the scale enables employees to evaluate their own organizational memory, it may not necessarily be an accurate indicator of their knowledge.

Practical implications

The scale can be used as a knowledge audit instrument for examining attitudes to mentoring and knowledge sharing, as well as for auditing knowledge that may potentially be lost when experienced employees leave organizations.

Originality/value

The scale is a valid and reliable self-report measure of organizational memory. It is an innovative tool for examining employee attitudes to knowledge sharing initiatives. The scale also recognises the contribution made to organizational memory by those with industry knowledge outside the organization.

Abstract

Purpose

This paper seeks to sharpen the concepts of tacit, implicit and explicit knowledge by linking them to findings from cognitive psychology and memory science and thus finding a possibility for measuring non‐explicit knowledge.

Design/methodology/approach

A review of KM and cognitive science literature leads to a dimensional model of knowledge types that links the concepts from KM to more specific concepts from psychology. One central assumption of the model was empirically tested and put into practice in one small‐scale KM project.

Findings

The concepts in KM can be linked to concepts from psychology and thus receive theoretical support. The developed model enables psychometric access to a part of non‐explicit knowledge through structural assessment techniques. Furthermore, the model has proven to be of value in a practical application in KM.

Research limitations/implications

The experiment and the practical application are too small in scope to provide full support for the model. Further research is required.

Practical implications

A fraction of non‐explicit knowledge can be measured with structural assessment techniques. This can be used in the quantitative evaluation of KM projects as these techniques allow the quantification of individual knowledge increase. Furthermore, a detailed analysis of individual project‐relevant knowledge is useful for post‐project analysis.

Originality/value

The paper integrates findings from several scientific fields for use in KM and presents a novel view of classic KM concepts. The developed model is of importance to both researchers and practitioners.

Dispersed multinational teams include people from multiple nations, some of whom are not collocated. In a knowledge economy, such teams must locate, store, allocate, and retrieve knowledge. Three central questions are: (a) How can dispersed multinational teams manage knowledge resource flows? (b) What factors influence knowledge resource distribution in these teams? and (c) How do dispersed multinational teams evolve over time? This chapter examines knowledge resource sharing in multinational teams through three theoretical lenses: transactive memory theory, collective action theory, and evolutionary theory, and concludes with practical suggestions for managing dispersed multinational teams that are derived from these three theoretical lenses.
