Abstract

Electronic meeting facilitation (e‐facilitation) continues to be a critical success factor in the use of information technology to support face‐to‐face collaborative work. Yet researchers and practitioners continue to struggle to understand the subtleties and difficulties in the application of meeting facilitation techniques in the ‘electronic’ context. To clarify that understanding, this paper develops a new theoretical framework that examines how technology interacts with human facilitator behavior in an electronic group meeting. This framework, The Dualities of E‐Facilitation, is composed of two dualities: the Duality of Computer and Human Interaction, and the Duality of Routine and Intuitive Actions. The framework emerged from an analysis of the e‐facilitation behaviors of newly trained face‐to‐face electronic meeting facilitators.

Abstract

Purpose

Despite widespread frustration with meetings in organizations, they receive very little attention from academics. The purpose of this paper is to shed conceptual light on meetings and hence render them amenable to research and development.

Design/methodology/approach

From interviews with managers and employees, six common assumptions about meetings were extracted, termed a folk theory of meetings, which most office workers seem to carry in the back of their minds.

Findings

This folk theory holds meetings to be places for excessive talk, whether by a domineering leader or highly vocal participants, the purpose of which is to walk through the items on the agenda and dispose of each. This bleak and conservative concept of a meeting impedes intellectual as well as practical progress.

Practical implications

An alternative theory of meetings is proposed, one based on the group facilitation approach to social order in meetings. On this view, a facilitator can change meetings by controlling their form and process, providing direction, stimulating engagement and ensuring that the meeting creates value for its external stakeholders and meaning for its participants. If adopted in management training, this view of meetings – and the widely available facilitation tools that go with it – may render meetings at work the subject of conscious organizational development.

Originality/value

The proposed “folk theory of meetings” is novel, as is the contrast provided with the facilitation approach to meetings. Together, they constitute a reconceptualization that can be used to move meetings out of the organizational doldrums.

Abstract

Effective meeting facilitation is recognised as a critical factor in group support systems (GSS) use but relatively little is known about how organisations can train and develop their “electronic meeting facilitators”. This article describes an action learning (AL) approach to the training of GSS facilitators. It begins with a description of the three schools of AL. The application of the “experiential” school of AL in GSS facilitation training is then explained. Finally, the article describes some lessons learned for both practitioners and researchers.

Reports part of a grounded theory study in which 15 facilitators, already experienced in conventional meetings, were trained to become facilitators of face‐to‐face electronic meetings. Presents a model ‐ “Active reflection” ‐ of the reflective practice processes used by the trainee facilitators. Active reflection is a term which describes the trainees’ accounts of the two complementary action reflection processes: reflection on action (thinking back on what was done) and reflection in action (thinking about the action while one is doing it). Identifies a number of implications for group support systems facilitation training and practice.

Abstract

Purpose

Scholarship about communities of practice (COP) is uncovering evidence that interactivity between community members contributes to improvement in practice. Leadership and facilitation are crucial elements of successful COP implementation. The purpose of this paper is to describe an innovative COP facilitator ' s course and report on the experiences of participants in the first course.

Design/methodology/approach

In response to this need and emerging evidence, an on-line COP facilitator ' s course was developed and implemented in Alberta, Canada, in 2011. This course included a home-based COP practicum, introductory face-to-face session, an on-line discussion board moderated by faculty and on-line learning modules. Evaluation of the course was formalized in a qualitative study incorporating content analysis of postings, semi-structured interviews of successful participants and narrative responses to questions in a post course survey.

Findings

A total of 15 of 22 participants perceived they acquired basic knowledge about community facilitation by completing the self-learning modules and assignments. Many did not establish home-based COP and only partially participated in the interactive components of the course. Six participants successfully completed the course by establishing home-based COP and actively participating in the social and interactive components of the course. They perceived they met course objectives and greatly benefited from participation in the course, in particular when they pushed themselves to facilitate in new and different ways, and when they were actively engaged with their home-based COP where they could practice and receive feedback.

Research limitations/implications

While the main reasons why participants dropped out or failed to complete all course components were reported, the experiences and perceptions of six participants who successfully completed all course components form the major part of the evaluation of the course and hence introduce bias. A more in depth analysis of why learners are reluctant to engage in participatory learning could be the focus of further studies.

Practical implications

The following key recommendations emerged in the study alongside recommendations for further study of best practices in supporting COP facilitation. First, a formal interview before enrollment into the COP facilitator ' s course is recommended to reinforce the comprehensiveness, time commitment and the practical applications intended within the course. Second, methods of “aggressive facilitation” with skilled COP facilitators can best model facilitation to those involved in the course. Third, supporting course participants to trial out a diversity of community facilitation skills in the safety of the course is crucial to success.

Originality/value

The collaboration, networking and interactivity of interdisciplinary health care workers is of tremendous consequence to health outcomes and a vital concern to practitioners and administrators. Little is currently understood of the leadership and facilitation of the COP models and these discoveries lend a timely contribution to the field.

Abstract

Rapid technological development is not only profitable but represents a kind of know‐how that yields great competitive advantage. Modelling is used to show the extraordinary profit advantage in reducing product development lead time. Examples are then given of ways in which rapid technological development can be a competitive weapon. There are three key variables influencing success in using it: rate of change of product designs, number of models in existence, complexity of the product. A strategy for innovation is outlined; recommendations are made for idea generation and problem solving, and for achieving quality in product planning. Finally the article analyses the elements in speedy project execution, including allocation of the time of critical personnel.

Abstract

Purpose

This paper seeks to investigate the role of leadership styles in the implementation of evidence‐based treatment methods (EBP) for drug abuse and criminal behaviour.

Design/methodology/approach

The paper employs a triangulation approach through mail questionnaires to 112 treatment personnel (49 per cent response rate), interviews with 65 employees and managers, observations and feedback workshops.

Findings

Responses from treatment personnel involved in the implementation of EBP indicated that their views on their immediate superior's leadership behaviour was significantly related to the perceptions of organisational innovative climate, job satisfaction and work output. Problems with workload, lack of collegial and managerial support and a low priority given to the programmes and treatment integrity were the most common barriers to implementation of the programmes. Effective managers were providing space, time and opportunity for the staff to perform their treatment‐related tasks and to be creative during the implementation process. This functional space had to be continually protected, both vertically from demands from higher levels of the organisation and horizontally from non‐helpful colleagues.

Research limitations/implications

The correlational design used in this study does not permit conclusions about causality.

Practical implications

Implementation of evidence‐based treatment programmes in clinical settings should pay attention to the impact of leadership styles on the experiences of treatment staff (climate, job‐satisfaction, burnout) and programme outcome. These variables should also be considered in the evaluation of treatment effects. The process of implementation can be seen as a route for learning and innovation, and managers should pay attention to the facilitation of these processes.

Originality/value

The role of leadership in implementation concerns not only production and structure but also learning, creativity and persistency during the process. The triangulation approach in this study also sheds light on the limitations of questionnaires in capturing the dynamics of leadership in human service organisations.

Abstract

The need for developing new entrepreneurial ways of thinking and acting has been in the agenda for the Organisation for Economic Co-operation and Development and the European Union countries. In line with their agenda, the Nordic Council of Ministers has been preoccupied with the development of entrepreneurial mindsets among the adult population. Seeking to meet the urgent need for developing entrepreneurial thinking, the Nordic Network for Adult Learning, together with the Nordic Council of Ministers, has elaborated and tested a Scandinavian model for stimulating entrepreneurial mindsets through the transformative learning circles. Based on the study of the TLC pilot project, this chapter explores the process of facilitation of entrepreneurial learning. The literature on entrepreneurial learning and education emphasises on the importance of facilitation; however, this issue is yet to be addressed in-depth. This chapter seeks to fill in this gap and contribute to our understanding of the role that facilitators play in the entrepreneurial and transformative learning processes. Drawing on the social constructionist approach to learning, this chapter discusses how facilitators and learners (entrepreneurs) become co-creators of knowledge and learning experiences.

Abstract

More and more organisations are using teams to solve problems, plan for the future and improve products, processes and services. One method of enhancing group effectiveness is to use a facilitator. Facilitators, however, need to be trained in order to accomplish their role effectively. This can only be achieved successfully if trainers are aware of the competencies and skills needed to undertake the facilitation process. Explores the facilitation process and presents both the general and specific competencies that are essential for facilitation. General competencies are those that are vital no matter what type of group is meeting. Specific competencies, on the other hand, are those that are distinctive to the level of group development. Groups that are highly experienced and well‐developed will require the facilitator to have more sophisticated skills than groups that are less‐developed.

Abstract

Purpose

This paper aims to report on research into managers’ and facilitators’ perceptions of effective facilitation.

Design/methodology/approach

A total of 20 managers from across five industry sectors, and 20 facilitators from larger organisations or working as consultants, were interviewed in‐depth regarding stories of effective and wholly or partially ineffective facilitation experiences. These stories are analysed within a constructivist‐interpretivist paradigm.

Findings

Four stages important to facilitation are identified: Preparation, Event, Satisfactory Outcomes and Transfer. Strategies and considerations are evident in the first three stages but poorly discussed and under‐utilised strategies in the last.

Research limitations/implications

Further research is suggested to identify strategies for implementing outcomes; consider the contribution internal facilitators can make to the facilitation process; appreciate of the context within which the facilitation takes place; and the impact of organisational size and culture of the facilitation process.

Practical implications

Facilitation is likely to be more effective if facilitators share a common language with the participant group; are conscious of the Transfer stage through‐out the process; and work to ensure affective, as well as effective, outcomes. Managers may also consider training, empowering and utilising their internal facilitators to a greater extent, in recognition of the value‐adding their knowledge about the organisation brings.

Originality/value

This paper adds a multi‐dimensional framework of facilitation to the empirical evidence for academics and practitioners working in the areas of facilitation and group effectiveness.
