KWIC‐REF/1 is a very stable and powerful storage, indexing and retrieval tool. It is particularly suited for general document storage and retrieval. The package allows full text storage of documents and easy reference through keywords. It is simple to use and quick at sorting and selecting documents. Priced reasonably, it can be useful for smaller special libraries, for issue files in larger libraries and for filing client and business correspondence.

Design/methodology/approach

This paper provides a case study.

Findings

This paper examines specific steps in a project plan for relocation and disposition of Federal Documents received under the Federal Depository Library Program.

Originality/value

The paper contributes to the discussion of library space needs, the disposition of tangible resources in an increasingly electronic age and the challenges libraries face in managing collections.

Abstract

Purpose

The purpose of this paper is to present the findings of the baseline study on the state of digital heritage material preservation in Botswana.

Design/methodology/approach

The study was part of a three‐country United Nations Educational, Scientific and Cultural Organization (UNESCO) Digital Heritage Preservation Project on the state of digital material preservation in Africa involving Botswana, Ethiopia and South Africa. The study uses the survey method consisting of various components data collection strategies including field work, document research, observations and the holding of a national consultative seminar an additional data input tool. The field study involved visiting 26 institutions that were identified as having the actual or potential of managing heritage materials in the country. Two other categories of institutions that were surveyed included the service providers of digitisation systems in the country.

Findings

Findings revealed weak policy formulation on digitization both at the institutional and national levels; weak legislative framework for digital preservation; ill‐defined national digitisation co‐ordination for digitisation activities at institutional, national and regional levels; lack of awareness about the potential of digital preservation by national heritage institutions; a dearth of human resources for digitization; and lack of common standards on digital heritage materials preservation in Botswana.

Research limitations/implications

Although the study was limited to institutions dealing with digital heritage materials preservation, the outcome of the study sheds more light on the challenges of preservation of digital materials in most of the institutions in Botswana.

Practical implications

The results of this study presents useful strategic policy options for the management and preservation of digital materials in Botswana and other countries of Africa facing a similar environment.

Originality/value

There is a dearth of literature on preservation of digital heritage materials in Africa, and this study provides useful insights that are unique and comparative experiences that exist on this subject.

Abstract

XML emerges and evolves quick and fast as Web and wireless technology penetrates more into the consumer marketplace. Database technology faces new challenges. It has to change to play the supportive role. Web and wireless applications master the technology paradigm shift. XML and database connectivity and transformation become critical. Heterogeneity and interoperability must be distinctly tackled. In this paper, we provide an in‐depth and technical review of XML and XML database technology. An analytic and comparative framework is developed. Storage method, mapping technique, and transformation paradigm formulate the framework. We collect and compile the IBM, Oracle, Sybase, and Microsoft XML database products. We use the framework and analyze each of these XML database techniques. The comparison and contrast aims to provide an insight into the structural and methodological paradigm shift in XML database technology.

Abstract

A large‐scale image storage system for project records and other contract documentation has been installed in the Engineering Directorate of Thames Water Utilities. The system uses optical disc storage and a relational database for indexing and retrieval of nearly 500,000 pages in compressed image format, and provides end‐user access through seven work‐stations. It has met its design objectives in protection of vital records of engineering projects, fast access to large volumes of project files, and cost savings, mainly through reduced storage space. The REOS installation was intended both as a working system and as a pilot project to gain experience with optical disc storage technology in a technical environment. Areas where the project met real difficulties, underestimated in the feasibility study, were in physical handling and document indexing during retrospective conversion, the amount of training required for staff operating the system and the development of adequate validation processes for data entry to the INFORMIX database. The system delivers good images and is reliable, and has been relocated twice during the life of the installation without difficulty.

Abstract

Purpose

This article aims to describe how people manage to integrate their use of paper and electronic documents in modern office work environments.

Design/methodology/approach

An observational interview type study of 14 participants from 11 offices in eight organizations was conducted. Recorded data were analysed using a thematic analysis method. This involved reading and annotation of interview transcripts, categorizing, linking and connecting, corroborating, and producing an account of the study.

Findings

The findings of the study can be categorized into four groups: the roles paper and electronic documents serve in today's offices, the ways in which these documents are managed, the problems associated with their management, and the types of fragmentation that exist in terms of their management and how these are dealt with.

Practical implications

The study has identified the need for better integrated management of paper and electronic documents in present-day offices. The findings of the study have then been used to propose a set of guidelines for the development of integrated paper and electronic document management systems.

Originality/value

Although similar studies of offices have been conducted in the past, almost all of these studies are prior to the widespread use of mobile and network-based shared technologies in office environments. Furthermore, previous studies have generally failed to identify and propose guidelines for integration of paper and electronic document management systems.

Abstract

Purpose

The purpose of this paper is to examine personal digital libraries (PDL) as a self-archiving approach, mainly based on individuals’ activities. Literature presents a wide range of perceptions of the term PDL. The rationale of using PDL and the capabilities that PDL should offer are also discussed. The key questions we focus on are: “What are the critical features of PDL?” and “Are there technologies that enable the implementation/incorporation of such capabilities in a low cost software product?”

Design/methodology/approach

We focus on “a user centred view of information process”, and examine how PDL could assist individuals to “create, seek, share and manage the life of information” (Foster et al., 2010). The capabilities that PDL should support, and the related technologies, are also discussed. Then, we describe experimentation with a prototype implemented to support/provide the mentioned capabilities. It is used to clarify our view for the creation of PDL. Finally, further discussion and conclusions are presented.

Findings

The technology is mature enough for building up PDLs with the specified features/capabilities.

Originality/value

A new perception of the term PDLs is presented. This perception tries to combine the self-archiving approach of information, based on a low-cost tool, and the user-centred approach to manage the “life of information”. This type of library is mainly used to cover personal needs. Users benefit from this type of PDL by personalised handling of information, reduced time to search and seek specific documents in their personal collections and less possibility for broken links or unavailable documents. We must also mention that new opportunities seem to appear for offering PDL as a service in the cloud.

Abstract

Purpose

The blockchain system is required for coordinating and managing the information across the organizations. The internal assurance of the information system is under threat and requires a defined and arbitrary system for protective information sharing. The primary analysis of defining and providing the access to the data or information is proposed in this article. The major challenge faced by organizations is providing and maintaining security to the cumulated data infrastructure, protecting the confidential data flow within the infrastructure and to ascertain ethical operations within the organization.

Design/methodology/approach

In this paper, a top-down approach is utilized to solve the issues faced during confidential data storage, track and alert internal malignant access. The web content management system (WCMS) market is growing and the challenging desideratum of solving security issues are incrementing. This research proposes a top-down security implementation methodology which alters the access control of the organization running the WCMS, it is a highly secure access-control with activity tracker that records who did what activity and who is responsible for malignant access tracker.

Findings

The upgraded access control system is implemented utilizing the most influential blockchain technology where the hash engendered by the Inter Planetary File System (IPFS) cloud is stored on the block to implement a confidential data tracker; a supplemental level of security is integrated to the admin by verifying its account ID by storing it on to the astute contracts and applying two-step authentication. A caliber of security is integrated during storage by integrating RHS encryption.

Research limitations/implications

This system is proposed for the confidential student data storage (for e.g. educational documents, marks cards etc.) and tracking maleficent access.

Originality/value

Abstract

Purpose

Nowadays, the use of WCMS (web content management systems) is widespread. The conversion of this infrastructure into its semantic equivalent (semantic WCMS) is a critical issue, as this enables the benefits of the semantic web to be extended. The purpose of this paper is to present a FLERSA (Flexible Range Semantic Annotation) for flexible range semantic annotation.

Design/methodology/approach

A FLERSA is presented as a user‐centred annotation tool for Web content expressed in natural language. The tool has been built in order to illustrate how a WCMS called Joomla! can be converted into its semantic equivalent.

Findings

The development of the tool shows that it is possible to build a semantic WCMS through a combination of semantic components and other resources such as ontologies and emergence technologies, including XML, RDF, RDFa and OWL.

Practical implications

The paper provides a starting‐point for further research in which the principles and techniques of the FLERSA tool can be applied to any WCMS.

Originality/value

The tool allows both manual and automatic semantic annotations, as well as providing enhanced search capabilities. For manual annotation, a new flexible range markup technique is used, based on the RDFa standard, to support the evolution of annotated Web documents more effectively than XPointer. For automatic annotation, a hybrid approach based on machine learning techniques (Vector‐Space Model + n‐grams) is used to determine the concepts that the content of a Web document deals with (from an ontology which provides a taxonomy), based on previous annotations that are used as a training corpus.
