Abstract

Purpose

The purpose of this paper is to present a solution for building an institutional information system (IIS) for the university, so that it combines the functionality of institutional repository (IR) with the functionality of current research information system (CRIS). The paper presents functionality of a system that has been implemented at Warsaw University of Technology (WUT), which solves the requirements of both system types. In addition, applied AI technologies aiming at providing features attractive for the system beneficiaries are presented.

Design/methodology/approach

The authors have reviewed various approaches to IIS, analyzed the problems observed by researchers in combining CRIS with IR, and have shown how the problems can be solved within a system that integrates various functionalities. Based on this analysis, the authors have implemented software Ω-ΨR (OMEGA-PSIR) for an academic IIS, which integrates requirements of both system types, and then deployed it at WUT.

Findings

It is shown that although a classical repository is an important part of the CRIS/IR system, the essential value of the solution is in providing analytical tools for “research management.” Based on the example of OMEGA-PSIR, the authors have also presented how the researcher-centric approach influences the acceptance rate of the academic community. It is also shown how the researcher-centric approach can take advantage from integrating the conflicting functionalities of IR and CRIS.

Practical implications

The paper bridges the gap between theory and practice in the area of IIS for academic institutions. It constructively discusses the role of institutional IR and it provides guides how to develop a system combining functionalities of CRIS and IR, as well as how to make IIS more attractive for the users by making the system researcher centric.

Originality/value

The survey of various approaches to IIS is unique. The research-centric approach and its implementation within OMEGA-PSIR system are original. Lessons learned from deploying the software at the WUT are of great value for institutions planning to install IR/CRIS solutions. A survey research concerning the system usability is provided, showing practical usefulness of the proposed approach.

Abstract

Purpose

Dissertations from the University of Novi Sad (UNS) are integrated with the research information system called the current research information system (CRIS) UNS. This paper aims to present a proposal for an extension of this system to enable the storage of student papers as prescribed by PhD study exam obligations. The proposed extension enables preservation and improves discoverability of scientific and technical works produced by students during their PhD studies.

Design/methodology/approach

An analysis of examination modes in accredited PhD study programs has been conducted. It was noted that students in examination modes verify the obtained results in the form of scientific and technical work. The main idea of this paper is to enable the preservation of those student results and to implement electronic services for retrieving those results by current and future PhD students to empower the development of science.

Findings

The proposal includes an extension of the CRIS UNS to store and publish student papers as prescribed as a PhD study exam obligation; an extension of the CERIF data model to enable storing of student papers; cataloguing student papers in the MARC 21 format; and a way to represent student papers in the Dublin Core format.

Practical implications

This paper can be a starting point for initiatives for the creation of institutional, regional, national and international Web portals for searching and browsing papers by PhD students.

Social implications

This system offers the improvement of cooperation between PhD students from different institutions and countries.

Originality/value

The paper presents an extension of institutional, national and international current research information system (CRIS) systems which will enable the preservation and improve discoverability of student papers produced during PhD studies. The proposed extension has been verified by its implementation within the CRIS UNS system, which also supports monitoring of the scientific competencies of students based on an automatic evaluation of published scientific results.

Abstract

Purpose

The purpose of this paper is to discuss added value in the context of current research information systems (CRISs) based on metadata enrichment.

Design/methodology/approach

This discussion paper uses literature review as well as analysis of CRISs specifications to discuss added value possibilities.

Findings

Added value of the CRISs is in their integration and interoperability with the same and similar information systems. Since metadata plays key roles in interoperability of information systems, therefore focussing on metadata-related issue can add considerable values to CRISs. Two types of metadata can be distinguished in every CRISs including macro- and micro-metadata. In terms of macro-metadata common European research information format (CERIF) by itself is an added value for CRIS because it draws a complete view of the research landscape including entities and their relations. CERIF metadata structure is designed in such a way that supports micro- and macro-metadata.

Originality/value

There is a lack of literature on adding value to research information systems especially CRIS and particularly how value can be added in CRISs still is an unanswered question. CRIS developers can use this paper as a road map to choose the most valuable strategy for adding value to their systems.

Abstract

Purpose

The purpose of this paper is to give an overview of larger developments in the international research information environment, and to outline their impact on the open access movement within libraries.

Design/methodology/approach

A narrative account of recent historical developments such as national current research information systems (CRIS), and their local campus equivalents, together with an analysis of the relationship of these systems with national research policies, and particularly their relationship with research evaluation policy.

Findings

Developments in the research landscape have important effects on grass‐roots LIS practice, and have given a great boost to open access repositories while preserving the traditional role of commercial journal publications. This complementary relationship was completely unexpected at the outset of the open access movement, which was specifically intended to reduce the importance of commercial journal publications.

Research limitations/implications

This is an exploration of the relationship between open access and current research information environments. This relationship is of enormous significance and will need to be analysed and better understood in future. The analysis in this paper is thus an initial attempt to increase this understanding, and further, extended investigation is recommended.

Practical implications

Practitioner librarians must come to grips with the role of repositories within the CRIS environment, as well as the relationship of repositories to the local campus research information system.

Originality/value

This paper investigates trends in the broader research information environment which will be unfamiliar to many LIS practitioners, and puts them in the context of everyday professional practice.

Abstract

Purpose

The main aim of this paper is to develop a CRIS systems search profile that would enable CRIS users to perform unified and semantically rich search for the records stored in the CRIS systems.

Design/methodology/approach

Prior to the search profile construction, diverse representative types of the scientific research data store systems (CRISs, digital libraries, institutional repositories, and search portals) were analyzed versus available search modes, indexes and query types.

Findings

The new SRU/W standard based search profile (CRIS profile) for the purpose of searching scientific research data was proposed, that supports search for all types of data identified through an exhaustive analysis covering all major scientific and research data store systems.

Research limitations/implications

Constraints of the proposed profile could appear from the fact that data identified in analyzed systems do not comprise all scientific research data recognized by CERIF standard which, in turn, could call for the profile extension.

Practical implications

Search profile has been verified on the data in the existing CRIS systems at the University of Novi Sad. The CRIS search profile enables unified and semantically rich search for the data stored in heterogeneous distributed scientific research data store systems.

Originality/value

The new SRU/W-based search profile extensively supports the search domain of scientific research data in CRIS systems. Commitments to SRU/W and CQL standards enable interoperability among heterogeneous, distributed scientific research data sources.

Abstract

Purpose

The aim of this research is to define a data model of theses and dissertations that enables data exchange with CERIF‐compatible CRIS systems and data exchange according to OAI‐PMH protocol in different metadata formats (Dublin Core, EDT‐MS, etc.).

Design/methodology/approach

Various systems that contain metadata about theses and dissertations are analyzed. There are different standards and protocols that enable the interoperability of those systems: CERIF standard, AOI‐PMH protocol, etc. A physical data model that enables interoperability with almost all of those systems is created using the PowerDesigner CASE tool.

Findings

A set of metadata about theses and dissertations that contain all the metadata required by CERIF data model, Dublin Core format, EDT‐MS format and all the metadata prescribed by the University of Novi Sad is defined. Defined metadata can be stored in the CERIF‐compatible data model based on the MARC21 format.

Practical implications

CRIS‐UNS is a CRIS which has been developed at the University of Novi Sad since 2008. The system is based on the proposed data model, which enables the system's interoperability with other CERIF‐compatible CRIS systems. Also, the system based on the proposed model can become a member of NDLTD.

Social implications

A system based on the proposed model increases the availability of theses and dissertations, and thus encourages the development of the knowledge‐based society.

Originality/value

A data model of theses and dissertations that enables interoperability with CERIF‐compatible CRIS systems is proposed. A software system based on the proposed model could become a member of NDLTD and exchange metadata with institutional repositories. The proposed model increases the availability of theses and dissertations.

Abstract

Purpose

The aim of this paper is to develop a system for automatic extraction of metadata from scientific papers in PDF format for the information system for monitoring the scientific research activity of the University of Novi Sad (CRIS UNS).

Design/methodology/approach

The system is based on machine learning and performs automatic extraction and classification of metadata in eight pre‐defined categories. The extraction task is realised as a classification process. For the purpose of classification each row of text is represented with a vector that comprises different features: formatting, position, characteristics related to the words, etc. Experiments were performed with standard classification models. Both a single classifier with all eight categories and eight individual classifiers were tested. Classifiers were evaluated using the five‐fold cross validation, on a manually annotated corpus comprising 100 scientific papers in PDF format, collected from various conferences, journals and authors' personal web pages.

Findings

Based on the performances obtained on classification experiments, eight separate support vector machines (SVM) models (each of which recognises its corresponding category) were chosen. All eight models were established to have a good performance. The F‐measure was over 85 per cent for almost all of the classifiers and over 90 per cent for most of them.

Research limitations/implications

Automatically extracted metadata cannot be directly entered into CRIS UNS but requires control of the curators.

Practical implications

The proposed system for automatic metadata extraction using support vector machines model was integrated into the software system, CRIS UNS. Metadata extraction has been tested on the publications of researchers from the Department of Mathematics and Informatics of the Faculty of Sciences in Novi Sad. Analysis of extracted metadata from these publications showed that the performance of the system for the previously unseen data is in accordance with that obtained by the cross‐validation from eight separate SVM classifiers. This system will help in the process of synchronising metadata from CRIS UNS with other institutional repositories.

Originality/value

The paper documents a fully automated system for metadata extraction from scientific papers that was developed. The system is based on the SVM classifier and open source tools, and is capable of extracting eight types of metadata from scientific articles of any format that can be converted to PDF. Although developed as part of CRIS UNS, the proposed system can be integrated into other CRIS systems, as well as institutional repositories and library management systems.

Abstract

Purpose

Information from Current Research Information Systems (CRIS) is stored in different formats, in platforms that are not compatible, or even in independent networks. It would be helpful to have a well-defined methodology to allow for management data processing from a single site, so as to take advantage of the capacity to link disperse data found in different systems, platforms, sources and/or formats. Based on functionalities and materials of the VLIR project, the purpose of this paper is to present a model that provides for interoperability by means of semantic alignment techniques and metadata crosswalks, and facilitates the fusion of information stored in diverse sources.

Design/methodology/approach

After reviewing the state of the art regarding the diverse mechanisms for achieving semantic interoperability, the paper analyzes the following: the specific coverage of the data sets (type of data, thematic coverage and geographic coverage); the technical specifications needed to retrieve and analyze a distribution of the data set (format, protocol, etc.); the conditions of re-utilization (copyright and licenses); and the “dimensions” included in the data set as well as the semantics of these dimensions (the syntax and the taxonomies of reference). The semantic interoperability framework here presented implements semantic alignment and metadata crosswalk to convert information from three different systems (ABCD, Moodle and DSpace) to integrate all the databases in a single RDF file.

Findings

The paper also includes an evaluation based on the comparison – by means of calculations of recall and precision – of the proposed model and identical consultations made on Open Archives Initiative and SQL, in order to estimate its efficiency. The results have been satisfactory enough, due to the fact that the semantic interoperability facilitates the exact retrieval of information.

Originality/value

The proposed model enhances management of the syntactic and semantic interoperability of the CRIS system designed. In a real setting of use it achieves very positive results.

Abstract

Purpose

The purpose of this article is to describe a proposition for the evaluation of citations of scientific papers, which could serve as a supplement to the existing Rule Book of the Ministry of the Republic of Serbia, which is used in the procedure of electing candidates for particular academic and research titles. The evaluation and quantitative presentation of the results and evaluation of citations were carried out on data taken from the database of the Current Research Information System of the University of Novi Sad (CRIS UNS), which is harmonized with the Rule Book of the Ministry with respect to the evaluation of published scientific results of researchers.

Design/methodology/approach

There are different criteria to evaluate the quality of scientific papers based on their citations. The pertinent parameters can be the total number of citations, the number of citations in a defined time period and by assigning the appropriate weighting values to the citations. This work proposes a procedure of assigning the citation weighting values based on the evaluation of the scientific results in which the citation appeared according to the Rule Book in the Republic of Serbia. Based on this, the authors introduced the impact factor of researchers as the ratio of the number of points of the evaluated citations and the number of points of the evaluated papers of the researcher.

Findings

Results showed that the research information system CRIS UNS can be extended to the evaluation of citations for a single researcher, groups of researchers and institutions.

Practical implications

The proposed solution enables the evaluation of citations in the process of election and promotion of academic staff. In this way, there is a means for measuring the scientific influence of a researcher in the relevant scientific area.

Social implications

The evaluation of citations may be included in the national strategies of scientific development, funding and evaluation of research projects; for promotions of academic staff at the universities and other academic institutions; and ranking of researchers and research organizations.

Originality/value

The main idea presented in the paper is the definition of a rule book (or several rule books) for the evaluation of citations. Based on the evaluation of citations, the authors proposed the term “the impact factor of researcher”.
