Abstract

Purpose

The purpose of this paper is to propose a theoretical framework to illustrate the archival knowledge applied by archivists in their personal archiving (PA) and the mechanism of the application of archival knowledge in their PA.

Design/methodology/approach

The grounded theory methodology was adopted. For data collection, in-depth interviews were conducted with 21 archivists in China. Data analysis was performed using the open coding, axial coding and selective coding to organise the archival knowledge composition of PA and develops the awareness-knowledge-action (AKA) integration model of archival knowledge application in the field of PA, according to the principles of the grounded theory.

Findings

The archival knowledge involved in the field of PA comprises four principal categories: documentation, arrangement, preservation and appraisal. Three interactive factors involved in archivists' archival knowledge application in the field of PA behaviour: awareness, knowledge and action, which form a pattern of awareness leading, knowledge guidance and action innovation, and archivists' PA practice is flexible and innovative. The paper underscored that it is need to improve archival literacy among general public.

Originality/value

The study constructs a theoretical framework to identify the specialised archival knowledge and skills of PA which is able to provide solutions for non-specialist PA and develops an AKA model to explain the interaction relationships between awareness, knowledge and action in the field of PA.

Abstract

Purpose

The purpose of this paper is to explore the relationship between different mechanisms for integrating national archival resources, leading to the development of a knowledge management-based framework for facilitating the optimal utilization of national archives resources in China.

Design/methodology/approach

The study adopts a mixed-methods approach consisting of a review of existing mechanisms for integrating national archival resources and site visits and interviews for investigating the effectiveness of these mechanisms in real world practices for managing and utilizing national archives resources in China.

Findings

The knowledge management-based framework is shown to be useful for building interdependence, interconnections and interactions between diversified integration mechanisms to meet national, societal and public needs in China. The framework is significant for rearranging the role of knowledge management in collaboration to protect the value of national archives resources as the knowledge asset of a state. It can reengineer the knowledge management activities in communication to share the value of national archives resources as the knowledge asset of a society. Furthermore, the framework can reconfigure knowledge management artifacts in connectivity to increase the value of national archives resources as the knowledge asset of the public.

Research limitations/implications

The review of the related literature is selective rather than comprehensive, and the interviews are based on a self-selected convenience sample, which is rather skewed demographically.

Practical implications

The proposed framework can be used to guide the development of a national strategy for the effective integration of national archives resources to promote a better delivery of public-centric knowledge services in a specific society.

Originality/value

This study provides a knowledge management framework for the effective integration of national archives resources toward their optimal utilization. It contributes to the examination of the role of different integration mechanisms in interactive knowledge management processes and the advancement of academic debate on the effectiveness of these mechanisms for the integration of national archives resources to facilitate their optimal utilization in China.

Abstract

Purpose

The purpose of this paper is to report the findings of a research project that analyzed records management (RM) and electronic records management (ERM) course syllabi from North American archival studies’ programs. By identifying the convergences and divergences of the topics and literature found within the syllabi, the authors sought to understand the relationship between the two courses and gain insight about how these courses continue to serve as an integral component of archival studies education.

Design/methodology/approach

The paper is based on a qualitative analysis of 23 RM and 12 ERM course syllabi from 26 academic institutions from North America. The research examined three different aspects of the syllabi: textbooks, required articles and weekly topics. The syllabi were analyzed as separate data sets (RM syllabi and ERM syllabi), which was followed by a comparative analysis of the two types of syllabi.

Findings

The findings of this study reveal that RM, ERM and (to a lesser extent) DA (digital archives) knowledge as represented in archival education converges in some course contents but diverges in others. Archival educators should pay close attention to overlapping areas so that the courses can better complement each other and advance knowledge representation within archival studies.

Research limitations/implications

This study only considered graduate-level programs in the USA and Canada. The study did not include syllabi or instructional guides from associate-level programs or professional organizations such as the International Certification of Records Managers or Association of Records Managers and Administrators (ARMA) International.

Practical implications

The results of this study lead the authors to present two different approaches for how RM and ERM knowledge may be incorporated into archival curriculum.

Originality/value

This is the first research project to analyze RM and ERM syllabi with regards to the enhancement of records and information management education and archival curriculum development.

Abstract

As the archival profession seeks a wider role in the field of information science, the need to prepare students for careers in a rapidly changing world requires multidisciplinary education, greater emphasis on core archival knowledge, and fully articulated graduate programs combining structured course sequences with practical experience and sophisticated research projects. The Society of American Archivists is currently considering new “Guidelines for a graduate program in archival studies”. This case study of the graduate program in archives and records management at Western Washington University provides one example of the diverse offerings available for archival students. The six key aspects of the Western Washington University curriculum include: linking history and archives, integrating archives and records management, emphasizing information technology, incorporating management principles, including practical experience, and requiring research for a master’s thesis.

Abstract

Purpose

Archival research is a much under-rated and under-utilized method of research in management studies. Yet multi-disciplinary undertakings being observed in recent times, such as in knowledge management (KM) systems, business history and social network studies, among others, indicate that there is a lot of potential to be explored. The purpose of this paper is to highlight this point and make a case for its inclusion in the researcher’s toolkit in the future.

Design/methodology/approach

The authors follow a two-stage method here: the first stage being an improvised process to benchmark articles for this review; while the second stage involves content analysis and synthesis of the same.

Findings

The authors have dealt with the intricacies of the archival research methodology by minutely examining the fieldwork steps, proxies generation, other related processes of triangulation, etc. With the discussion on “multi-disciplinary undertakings,” the authors offer not only a selective bibliography of works that have effectively harvested this family of methods, but also critique the nuances involved. Finally, coming into more contemporary concerns and developments, the authors undertake an in-depth look at technological applications in the domain of KM, in case study mode. Methodological richness leads to substantive granularity. As such, the authors argue that archival methods contribute to the robustness, contextuality and holism of any research endeavor, more so in the study of business and organizations.

Research limitations/implications

This paper is based on the literature review.

Practical implications

This paper makes a case for archival method’s contribution toward the robustness, contextuality and holism of any research endeavor, more so in the study of business and organizations.

Originality/value

This paper re-positions the method of archival research as a viable and sophisticated tool for researchers to employ effectively in singular or mixed method studies.

Abstract

Purpose

The purpose of this paper is to examine user studies as well as user education within the context of public services offered by archival institutions. It highlighted some of the key aspects that constitute both concepts drawing from history in order to provide a better understanding in the context of current professional discussions.

Design/methodology/approach

The review analysed peer-reviewed articles ranging from the late 1970s to the present time to illuminate debates in the archival professional underpinning the current understanding of user studies and user education.

Findings

The paper outlined the different paths used in user studies to ensure data collection is exhaustive and provides a nuanced assessment of user needs. It also outlined the two related paradigms of structuring user education programmes, highlighted the points at which they differ and the rich discussions resulting from comparative analysis.

Originality/value

The paper demonstrated that there is a rich corpus of professional literature on both user studies and user education, expounding on different aspects that would ensure both are designed and implemented effectively.

Abstract

Purpose

This paper aims to explore if there is an analogous discipline in China to diplomatics.

Design/methodology/approach

A comparison method is used for the exploration. Five Chinese disciplines are chosen for the comparison, which are Wenxian xue, Bianwei xue, Dangan jianbian xue, Wenshu xue and Gu wenshu xue. The diplomatics, as discussed in this paper, is modern diplomatics, as exemplified in the work of Dr Luciana Duranti.

Findings

It was found that while there is no such Chinese discipline identical to diplomatics, its knowledge is distributed among several Chinese disciplines. This indicates the common concern and efforts in the West and East and the potential for the further development of diplomatics as a global discipline.

Research limitations/implications

The disciplines this paper has examined are what this author is aware of that share certain similarities with diplomatics and the discussion is based on this author’s understanding; thus, it is possible that there are disciplines that this author did not know or the understanding is insufficient to reveal all the connections between diplomatics and these disciplines. Further research from other perspectives might be needed.

Originality/value

To the author’s best knowledge, this is the first paper in English comparing Chinese diplomatic disciplines with diplomatics. It has also shed some light on the development of several Chinese disciplines.

Linking historical collections in an event-based ontology

Abstract

Purpose

This study aims to explore a way of representing historical collections by examining the features of an event in historical documents and building an event-based ontology model.

Design/methodology/approach

To align with a domain-specific and upper ontology, the Basic Formal Ontology (BFO) model is adopted. Based on BFO, an event-based ontology for historical description (EOHD) is designed. To define events, event-related vocabularies are taken from the Library of Congress’ event types (2012). The three types of history and six kinds of changes are defined.

Findings

The EOHD model demonstrates how to apply the event ontology to biographical sketches of a creator history to link event types.

Research limitations/implications

The EOHD model has great potential to be further expanded to specific events and entities through different types of history in a full set of historical documents.

Originality/value

The EOHD provides a framework for modeling and semantically reforming the relationships of historical documents, which can make historical collections more explicitly connected in Web environments.

Abstract

Purpose

This paper aims to discuss the disconnection between the recognized centrality of the functional approach to records management and archives and the actual understanding of functions that scholars, practitioners, and records creators seem to have. It suggests that records professionals should consider functions not in the abstract but in the specific socio‐cultural contexts in which they are enacted.

Design/methodology/approach

After analyzing the main theoretical and methodological issues concerning the concept of function and the application of the functional approach, the paper reports some findings of an empirical study of function‐based records classification systems conducted by the author in four different organizations in Europe and North America.

Findings

The multiple‐case study research confirmed that the meaning of both function and classification are subject to various interpretations, that a number of non‐functional factors are involved in the creation of function‐based tools, and that records professionals find available explanations of functional methods confusing. The findings also indicate that there is a relationship between organizational cultures and the ways in which business and records processes are perceived and translated into practice.

Research limitations/implications

This study provides a number of suggestions that may be used to improve the analysis of functions and business processes for any records management purposes. In particular, it discusses some of the non‐functional and cultural factors that influence the design and implementation of function‐based records classification systems. However, more empirical research is needed in order to broaden our understanding of functions in real‐world organizations.

Originality/value

Based on a broad selection of professional literature on the functional approach, this paper presents the original findings of an empirical study that uses qualitative methods to analyze and interpret the data collected. It is hoped that it will inspire more exploratory research of this kind in the records management area.

Abstract

Purpose

The purpose of this study is to investigate absorptive capacity and dynamic capabilities dilemma in high dynamic market IT small medium enterprises (SMEs). Absorptive capacity and dynamic capabilities have a conflict in theoretical stance. Those in favor of dynamic capabilities regard absorptive capacity as a part of dynamic capabilities, and there are many arguments regarding treating absorptive capacity as a part of dynamic capabilities. One major deficit of dynamic capabilities is that it requires adjusting the firm’s dynamic resources when responding to change, requiring some investment and time. Thus, dynamic capabilities then have a problem in instantaneously responding to a highly dynamic market. With the requirement to adjust organizational resources, absorptive capacity, as a part of dynamic capabilities, cannot have direct impact on a firm’s performance.

Design/methodology/approach

To show that absorptive capacity, by itself, can have a direct impact on a firm’s performance in a highly dynamic market, quantifiable variables are identified to measure the level of effort in developing absorptive capacity. The relationships between the absorptive capacity development effort and the firm’s financial performance is then explored and evaluated.

Findings

It is confirmed that absorptive capacity in a high dynamic market such as IT SMEs have direct and positive impact to the firm’s financial performance, without having to configure its resource to interact with changes.

Originality/value

The study discusses the paradoxical dilemma of the role of absorptive capacity under the light of dynamic capability. The finding indicates that in high dynamic market when the spontaneous respond to market change is crucial to firm's survival, absorptive capacity can direly deliver the result to leverage the firm's performance without having to reconfigure its resources as indicated in the theoretical stance of dynamic capability.
