Abstract

Purpose

The purpose of this paper is to map and describe findings from research conducted in workspaces designed to support activity-based working (ABW) over the past 10 years (2010–2020) with a view of informing post-COVID workplaces of the positive and negative attributes of ABW.

Design/methodology/approach

Scopus was used as the search engine for this review. Papers which reported findings related to ABW and performed field study in ABW workspaces with adult occupants were included. Out of the 442 initial papers, 40 papers were included following iterative title and abstract and full text review process and consideration of inclusion and exclusion criteria. These papers were divided into three groupings (organizational, human and physical environment) based on their major focus. Positive and negative effects of ABW environments on occupants are discussed within these three topics in consideration of the implications for the post-COVID workplace.

Findings

Although the included studies were inclined to be either more positive (i.e. interior design) or negative (i.e. indoor environmental quality, productivity, distraction and privacy) in relation to various attributes of ABW, no single effect of ABW environments on occupants was in full agreement between the studies. The shortcomings of ABW environments are more related to how this way of working is implemented and how occupants use it, rather than the concept itself. A partial uptake of ABW leads to occupants’ dissatisfaction, lower productivity and lower well-being, while a holistic approach increases the chance of success. It is hypothesised that many currently reported negative aspects of the ABW concept might diminish overtime as ABW evolves and as new challenges arise. A continuous post-occupancy evaluation after relocation to an ABW-supportive environment can inform the organization about the changing needs and preference of the occupants; hence, the organization can tailor the ABW solution to the arising needs. The inter-connection between the three key ABW pillars (organizational, human and physical environment) is crucial to the success of this concept specifically in the context of the post-COVID-19 workplace.

Originality/value

This paper highlights the key shortcomings and limitations of studies produced over the past decade and identifies keys gaps in the current body of literature. It provides a new insight on how findings related to open-plan offices designed to support ABW can be categorized on the three big heading of organizational, physical and human-related aspects, and further investigates the positive and negatives outcomes reported on ABW under these headings. It also discusses how the findings arising from this literature review can inform the post-COVID workplace.

Abstract

Purpose

The purpose of this study is to explore which factors may explain the high or low percentages of satisfied employees in offices with shared activity-based workplaces.

Design/methodology/approach

The paper compares data on employee satisfaction from two cases with remarkably high satisfaction scores and two cases with significantly lower satisfaction scores (total N = 930), all of the same organisation. These cases were selected from a database with employee responses to a standardised questionnaire in 52 flexible work environments. In the four case studies, also group interviews were conducted.

Findings

Overall, there are large differences in employee satisfaction between cases with, at first sight, a similar activity-based office concept. The main differences between the best and worst cases regard employee satisfaction with the interior design, level of openness, subdivision of space, number and diversity of work places and accessibility of the building. Employee satisfaction shows to be influenced by many physical characteristics of the work environment and by the implementation process. Satisfaction with the organisation may have an impact as well.

Research limitations/implications

Almost all cases regard Dutch organisations. Due to the lack of quantitative scales to define the physical characteristics of the work environment, the study is mainly descriptive and explorative and does not include advanced multivariate statistical analyses.

Practical implications

The data revealed clear critical success factors including a supportive spatial layout to facilitate communication and concentration, attractive architectural design, ergonomic furniture, appropriate storage facilities and coping with psychological and physical needs, such as privacy, thermal comfort, daylight and view. Critical process factors are the commitment of managers, a balance between a top-down and a bottom-up approach and clear instructions on how to use activity-based workplaces.

Originality/value

The study connects descriptive research with inductive reasoning to explore why employees may be satisfied or dissatisfied with flex offices. It is based on a combination of quantitative survey data from 52 cases and a closer look at two best cases and two worst cases based on qualitative data from interviews and personal observations. The study has high practical value due to the integral approach that incorporates many items of the physical environment and context factors like the implementation process.

Abstract

Purpose

The aim of the current interview study was to investigate how the university staff and their immediate managers perceived the academic work environment after a transition to activity-based workplaces (ABW).

Design/methodology/approach

Interviews were conducted with 11 university lecturers/researchers and 12 academic middle managers, that is, heads of departments or units in a Swedish university.

Findings

The qualitative content analysis revealed four central themes indicating how the academic environment had been affected: challenges related to decision-making and implementation of ABW, interpersonal relations and communication, consequences for academic identity and issues related to the physical work environment.

Research limitations/implications

The non-purposive sampling of participants coming from a single university is a limitation of the current study. More studies are needed to deepen the knowledge and to further corroborate the transferability of the findings.

Practical implications

The savings the universities expect to achieve in terms of reduced costs for premises, when introducing ABW, may lead to other kinds of costs, such as jeopardizing employee performance, comfort and well-being. It is therefore important that the academic staff is empowered and involved during the planning and implementation process of new offices.

Originality/value

The study contributes new knowledge concerning implementation of ABW and its consequences for the academic work environment.

Abstract

Purpose

The purpose of this study is to describe the success story of a software company, Adobe, in redesigning the workplace environment from cubicles to a connected collaborative workplace, which helped the organization optimize workplace usage. The goals were to design an innovative work environment to optimize the usage of the office portfolio, improve workplace service quality and infrastructure facilities of the portfolio, increase employee productivity, reduce technology costs, engage employees in a better way to enhance employee satisfaction, align workplace design with the brand, mobilize technology and enable a globalized workforce to facilitate higher productivity.

Design/methodology/approach

An exploratory research design method was adopted using the purposive sampling technique to collect data through semi-structured interviews with a team of nine property professionals from the operations team responsible for workspace redesign at Adobe in India.

Findings

The main observations of the corporate real estate (CRE) manager were on what value parameters drive workplace redesign and how different software companies were creating strategies to manage workplace design or redesign change for optimal use of the organization portfolio. To discuss the CRE strategies of global software leaders, IBM and SAP were pointed out in this case.

Research limitations/implications

The number of interviews were limited. The related parameters for workplace transformation are not necessarily complete. However, the parameters are regarded to include the most important aspects of workplace redesign.

Practical implications

This study provides useful insights into how benchmarking in the workplace transformation function of the CRE industry can be applied to address portfolio-related challenges, divergent employee needs and improve workspace usability following energy-efficient policies. Practitioners can use this study as a guide to develop more effective workspace designs.

Social implications

This study may guide other firms on successful workspace design initiatives that may overcome many obstacles in the workplace transformation process to have their intended impact on workplace efficiency and employee satisfaction. The case can be used as an inspiration for developing specific user-focused innovative workspace design in practice.

Originality/value

Adopting the theoretical background of the person–environment fit theory, this study adds to the understanding of the operational model of a digitally connected workspace designed as per real estate needs and strategies to manage the CRE portfolio of the company.

Abstract

Purpose

The purpose of this paper is to map and describe the activities taking place in the academic workplace. It considers whether academic work is something completely different from traditional knowledge work and identifies differences and similarities between the two.

Design/methodology/approach

The data was collected through in-depth interviews with thirteen academics from different disciplines at the Norwegian University of Science and Technology within a case study approach. A document analysis of the university’s disciplines was carried out in advance of the interviews.

Findings

Four important similarities between knowledge work and academic work and three distinctive features of academic work were identified. Balancing the need for interaction and concentration is most important for both knowledge work and academic work, and the most prominent differences are the academics’ constant alternation between supervision, teaching, concentration work and administrative tasks, as well as some academics’ close links to practice. Academic work is not completely different from knowledge work, and learning from experiences from other sectors can be valuable when designing workplaces for academic staff. It is necessary to understand the activities taking place in the academic workplace and at the same time plan for future flexibility.

Originality/value

This study contributes to the research on workplace design for academic staff to better understand the characteristics and variations of academic work and differences in academic cultures and traditions. This will contribute to a better understanding of how workplace design, work processes, technology and how the institution is organised can support the university’s visions and goals.

Abstract

Purpose

This study aims to investigate the performance of open-plan office layouts and to identify occupants’ concerns in existing open-plan office layouts.

Design/methodology/approach

Workplace activity questionnaire (WAQ) was administered in the form of an online survey in March 2019, as part of a design briefing process for the expansion of the office facilities located in Bangalore, India, for a Fortune 100 software technology company. A total of 4,810 questionnaires were distributed and 3,877 responses were received (80.6% response rate). After that, 849 incomplete responses were eliminated from the analysis, resulting in a final sample size of 3,028. The questionnaire included 11 key activities conducted by the office workers and established the gap between the workers’ perceived importance and support from their existing facilities using a five-point Likert scale.

Findings

The findings of this study provide strong evidence that different physical environments influence the satisfaction of occupants. An improvement of the facilities, especially by enabling areas for quiet working, should be prioritized in relation to the other activities surveyed. Also, office workers perceived significantly different support levels for quiet working depending on their department, while there was no significant difference between the workers of different buildings.

Research limitations/implications

Individual demographic information was not collected because of the possibility of personal identification. There was also a lack of objective environmental measures, such as temperature and noise level. Thus, the quality of indoor environments was unknown. In this study, some respondents mentioned dissatisfaction with indoor environmental quality, including noise, temperature and air quality in their comments.

Originality/value

In the programming stage of a workplace design process, the WAQ survey tool has value because it renders important insight into the perception of a live workplace, which can then be used to determine priorities for a design effort. It clearly identifies the areas to focus on, ask questions about and develop improvements. Validating its reliability will enhance its credibility and confidence in its use. In addition, the large sample size provides statistical advantages in the data analysis, providing a higher likelihood to find a true positive of the findings of the study. Also, having a relatively high response rate provides an advantage of mitigating the risk of having non-response bias in the analysis.

Abstract

Purpose

This paper aims to review the concept and characteristics of coworking space, especially physical and operational characteristics and its objectives. The authors propose three models of coworking spaces, such as revenue, synergistic and customer contact, which organizations can use as a part of their corporate real estate strategies to build workplace flexibility and resiliency. This paper also addresses research gaps and a research agenda for future research.

Methodology

This paper is a literature review of academic research focusing on coworking spaces. Because of the relatively limited existing academic literature on the topic, industry sources and white papers are also reviewed.

Findings

The authors categorized common threads of the existing literature on coworking spaces to emergence and growth trends, the types of users, the type of work to be completed in these spaces, characteristics of coworking spaces and the desired outcomes of coworking space models. Coworking spaces are expected to grow worldwide because of the increase in knowledge-based economy, the “digital nomad” lifestyle and mobile technologies, however, there is limited research on the relationship between spatial and operational characteristics of coworking spaces and users’ collaboration, social well-being and creativity. No research identified fully articulated the nuanced differences between the types of coworking spaces now found in the real estate ecosystem.

Research limitations

There is limited academic, empirical research focusing on coworking spaces. Thus, the search for literature itself is limited to a small number of papers. Although the authors extended the search to non-academic sources, the conclusion of this study is tentative because of the prematurity of the topic.

Originality/value

This paper urges the identification of research questions, considering the fast growth of coworking spaces and suggests future research directions based on newly proposed models. Industry practitioners, including building owners, managers, coworking space providers and corporate real estate practitioners, can consider using variations of coworking space concepts and characteristics, as they understand the importance of social needs and connectivity among users. By addressing the history of the coworking space as a concept and business model, and updating the types of models to include new coworking spaces, the authors provide further options to industry practitioners as to how to integrate coworking into their real estate.

Purpose

The purpose of this paper is to report on research investigating the relationship between physical activity and workplace design. In particular, the paper explores the social–ecological context of a new workplace building. This paper seeks to understand why better physical activity outcomes for the staff were not observed in the new building despite influence from a staff wellness committee during design; achieving success against existing best-practice indicators; and staff reporting increased feelings of wellness, energy and satisfaction with the new building.

Design/methodology/approach

Three design aspects are taken as a focus from within an opportunistic pre-/post-physical activity study of an organisation as they move from a building they occupied for 30 years into a new purpose-designed building. This study was conducted through mixed methods, incorporating ethnographic, architectural and quantitative means.

Findings

The social, spatial and personal context is important for understanding participant workplace-based physical activity. Despite the health and well-being goals and 5 Star Green Star outcomes of the new building, participants were sedentary for a substantive part of their workday in both buildings.

Practical implications

A well-designed environment can support staff feeling healthier, but the 5 Star Green Star rating does not implicitly ensure a healthier, activity-promoting environment. Facilities managers and designers can act to provide physically active paths as the most straightforward circulation option in workplaces.

Originality/value

The originality of this study lies in the opportunity to conduct a pre-/post-study of physical activity where the organisation, workforce and type of work are constant and where the variable is the building design, spatial configuration and location. The methods used in this study draw from both health promotion and architectural research practices.

Abstract

Purpose

This paper aims to explore similarities and dissimilarities between facilities management (FM) and corporate real estate management (CREM) regarding its history and key issues, and whether the similarities may result in a further integration of FM and CREM.

Design/methodology/approach

The paper is based on a review of FM and CREM literature, seven interviews with experienced academics and consultants and the long experience of the author as a researcher and teacher in accommodating people and activities.

Findings

Both FM and CREM aim to support primary business processes by aligning the physical resources of organisations to the organisational strategies in order to contribute to organisational performance and to add value to the organisation. Efficiently and effectively supporting the primary activities and business purposes are key issues. Dissimilarities consider the focus on facilities and services (FM) versus that on buildings and real-estate portfolios (CREM), as well as a shorter time frame and high flexibility of facilities (FM) versus a long life cycle and rather static buildings (CREM). In spite of the differences, it is expected that both disciplines will be more integrated in the future.

Research limitations/implications

The selection of key topics and key publications may be biased by the personal knowledge and European perspective of the author and the input from seven expert interviews.

Practical implications

The common body of knowledge of FM and CREM may be used to improve both professions and disciplines and may result in a more integrated approach of facilities and real estate management (FREM).

Originality/value

This paper combines insights from two related disciplines with different histories and focus points, and explores what they have in common and can learn from each other.

Abstract

Purpose

This paper aims to focus on activity-based workplaces, which offer a diversity of typologies and configurations which, instead of being attributed to users, are shared according to the needs of their activities. Indeed, this paper questions the way these activity-based workplaces configure the ways in which individuals and collectives carry out their activity.

Design/methodology/approach

To do so, this paper established a two-phase methodology. Three days of observation amid three different units evolving in activity-based workplaces have helped us to identify the uses that emerged from these spatial typologies. Then, a set of two interviews with eight participants have been conducted based on the four dimensions of the situated acceptance model (Bobillier Chaumon, 2013) and on picture elicitation.

Findings

The results allow us to understand how activity-based workspaces can be considered as artefacts for the activity that needs to be appropriated to allow the worker to realise his activity.

Research limitations/implications

The results provide an overview of the social and psychological consequences of activity-based workspaces on workers, their work collective and their activity. Thus, the conclusions can be mobilised in activity-based real estate projects, for example, during the design stage.

Originality/value

This research conducted with a situated approach based upon the study of the development of the activity proposes a change from the usual managerial approach about these activity-based workplaces, which prescribe an ideal way of working within the workplace.
